The Opportunity

We are seeking a highly organized, proactive, and adaptable Executive Administrative Assistant to support members of our senior leadership team.

This is a Colorado-based hybrid role with regular in-office presence in Louisville. The ideal candidate will balance strategic awareness with hands-on execution, manage multiple executives and competing priorities with ease, and maintain confidentiality in all matters.

You’ll work collaboratively with other administrative professionals to ensure consistency, efficiency, and seamless coordination across the organization. The right person thrives in a fast-moving environment, stays composed under pressure, and brings order to complexity.

This role is ideal for a professional who takes an Infleqtion-first approach — supporting leadership collectively, balancing priorities across the organization, and ensuring seamless coordination across teams.

What You’ll Do

  • Provide comprehensive administrative support to senior executives, including complex calendar, meeting, and communication management.
  • Coordinate travel logistics and detailed itineraries for domestic and international trips.
  • Prepare expense reports and ensure timely processing.
  • Serve as a trusted liaison between executives, employees, and external partners.
  • Anticipate needs, manage shifting priorities, and ensure leaders are prepared for meetings and commitments.
  • Support the preparation of presentations, reports, and board materials.
  • Coordinate logistics for leadership meetings, site visits, and events.
  • Maintain confidentiality of highly sensitive information.
  • Collaborate closely with other administrative team members to ensure alignment, consistency, and coverage.
  • Manage projects and special assignments as needed to support executive initiatives.

Requirements
  • Bachelor’s degree in a related field, or equivalent combination of education and experience.
  • At least 5 years of experience supporting senior executives or C-suite leaders in a dynamic or high-growth organization.
  • Proven ability to manage multiple executives, shifting priorities, and fast-changing schedules with professionalism.
  • Advanced proficiency in Microsoft Office, particularly Outlook, Word, PowerPoint, and Excel.
  • Exceptional organizational and time-management skills with attention to detail.
  • Strong judgment, discretion, and the ability to handle confidential information.
  • Excellent written and verbal communication skills.
  • Calm and resourceful when information is incomplete or priorities change.
  • Collaborative, team-oriented, and confident working closely with other administrative professionals.
  • Experience coordinating international travel and event logistics is a plus.
