Position Summary and Responsibilities

Working from a home office within South Carolina, the Executive Administrative Assistant provides high-level administrative support to school leadership and plays a key role in the daily operations of the school. Candidates must live in South Carolina. This position requires strong organizational skills, sound judgment, discretion with confidential information, and the ability to manage multiple priorities in a fast-paced virtual school environment.

The Executive Administrative Assistant will be responsible for, but not limited to, the successful completion of the following tasks:

Executive & Administrative Support
● Provide direct administrative support to the School Leader and school leadership team, including calendar management, correspondence, and meeting coordination
● Prepare agendas, materials, and minutes for leadership, board, and staff meetings
● Manage scheduling of appointments, events, and school activities
● Screen and respond to phone and email inquiries on behalf of leadership
● Assist with a wide variety of daily responsibilities as needs arise

Student Records & Data Management
● Enter and maintain student information in PowerSchool and other school and state information systems, including registrations, course enrollments, and records
● PowerSchool experience is required; maintain accurate, audit-ready data across all systems
● Generate reports as requested by school leadership, the Charter Institute at Erskine, and the South Carolina Department of Education
● Assist with state and district data reporting and state testing preparations

Leadership & Team Coordination
● Maintain current knowledge of Federal and South Carolina-specific enrollment, student privacy, and records regulations
● Follow up with local school districts regarding transcript requests, interpretation, and student records
● Support the school's compliance with South Carolina charter school accountability requirements
● Maintain confidentiality and professionalism in all family and staff communications

Requirements

● Must reside in South Carolina
● Required: Experience with PowerSchool (or equivalent student information system) strongly preferred/required
● Required: Prior management, supervisory, or lead administrative experience
● Associate's degree or higher preferred, or equivalent combination of
administrative/management experience
● Proficiency with Microsoft Office tools, Google Suite, and web-based applications
● Excellent oral and written communication skills
● Strong organizational skills and exceptional attention to detail
● Ability to multitask and prioritize in a fast-paced, deadline-driven virtual school environment
● Demonstrated ability to maintain confidentiality and exercise sound judgment
● Customer-focused approach with strong interpersonal skills
● High degree of flexibility and demonstrated ability to work well in a team environment
● Willingness to travel within South Carolina for school events, meetings, and state testing as needed
● Must be able to use a personal electronic device and email address for 2-step
authentication
