We are seeking a highly motivated, process-driven, and detail-oriented Events Senior Specialist to join our team as an independent contractor. This person's primary role will be to provide comprehensive operational and logistical project management for our two major annual user conferences, Pantheon and Ignite.
Reporting to the Events Manager, the Events Senior Specialist will be a critical player in ensuring the flawless execution of key operational pillars, specifically focused on content logistics, vendor finance, and on-site branding/tracking. The ideal candidate will be an organized, proactive project manager with proven expertise in orchestrating complex logistics for large-scale events.
This candidate should be passionate about creating engaging, memorable experiences, possess energy, creativity, resourcefulness, and be able to remain calm under pressure while managing concurrent workstreams.

What you’ll do:
The Events Senior Specialist will take ownership of several critical, high-volume execution areas for the Pantheon and Ignite conferences, leveraging strong project management and organizational skills:
Breakout Content Project Management (Primary Focus)
Logistical Oversight: Manage the end-to-end logistics and project execution for 200+ breakout sessions across both user conferences.
Deliverable Tracking: Develop, implement, and maintain a robust project management system to track content deliverables, speaker deadlines, and specific session needs (AV requirements, room setups, seating configurations, etc.).
Speaker Readiness: Coordinate with internal stakeholders and external speakers to ensure content is finalized, presentations are submitted on time, and speakers are fully prepped for their sessions.
On-Site Execution: Serve as the primary logistics lead for the content tracks, ensuring smooth room turnovers and resolving issues in real-time.
Procurement Processing and Financial Tracking
Manage the full procurement lifecycle for all major event vendors, ensuring contracts are processed and executed in alignment with company policies.
Process, track, and meticulously reconcile all vendor invoices and payments related to the conferences, maintaining organized financial records for the Events Manager.
Hotel Branding & Environmental Graphics
Serve as the primary logistical liaison between the events team and the creative/design team for all hotel and venue branding efforts.
Coordinate the placement, specifications, and production of all environmental graphics, working with printing vendors to submit files, manage proofing, and oversee final on-site installation.
Package Tracking & Manifest Creation
Develop and maintain a master package manifest, tracking all inbound and outbound shipments (e.g., swag, marketing materials, sponsor items) for both conferences.
Collaborate closely with the hotel/venue receiving dock and the expo/general service contractor to ensure accurate receipt, storage, and timely delivery of materials to the correct on-site locations.
What you'll bring:
Experience: 5+ years of direct experience in event management, specifically focusing on operational logistics and content track management for large-scale user conferences of 5,000+ attendees.
Project Management Prowess: Demonstrable expertise in managing highly complex, multi-faceted projects with numerous dependencies (e.g., 200+ concurrent session logistics). Proficiency with project management tools is required.
Financial & Procurement Acumen: Proven ability to manage a high volume of vendor invoices, track expenses, and navigate corporate procurement processes accurately.
Communication: Exceptional written and verbal communication skills, with the ability to manage external vendor and internal creative team expectations.
Attention to Detail: Meticulous attention to detail and a disciplined approach to managing multiple, complex tasks simultaneously under tight deadlines.
Comfortable Operating: Self-motivated and confident in taking ownership of critical operational responsibilities within a fast-paced environment.
Flexibility: Willingness to travel to and provide comprehensive on-site support for both Pantheon and Ignite.
