Are you a detail-oriented, creative problem solver with a passion for planning memorable events? We’re looking for a dynamic Events Marketing Coordinator to join our team! In this role, you'll play a critical role in helping SmarterDx scale and elevate the way we engage both our team and our customers. You’ll support the Events Marketing Coordinator in producing standout employee, prospect, and client events that build culture, trust, and business growth. This is a fantastic opportunity for an enthusiastic professional eager to grow into a hands-on event management role. 

 

You'll coordinate logistics for internal and external events, including scheduling, travel, venues, vendors, supplies, and run-of-show documentation. Provide on-site and virtual support for live events when needed (e.g., customer trainings, internal meetups, sales activations.) Source, vet, and liaise with vendors for gifting, catering, A/V, decor, and experiential activations. Track tasks, timelines, and dependencies across multiple concurrent programs. 

As a key member of our high-performing marketing team, you’ll report to the Events Marketing Coordinator and play a central role in helping us grow SmarterDx’s presence in the acute hospital and health system market.

**This role is fully remote within the US**

What You’ll Do
  • Assist in the planning and execution of virtual and in-person events, including trade shows, conferences, webinars, and company-hosted events.
  • Manage event logistics such as shipping materials, ordering supplies, tracking deadlines, and coordinating with vendors.
  • Help maintain the events calendar, project plans, and internal event documentation.
  • Develop detailed project timelines and ensure deadlines are met, and Manage day-to-day administrative tasks related to event planning, such as maintaining event checklists, reports, timelines, task lists; and note-keeping for Event team meetings.
  • Collaborate with cross-functional teams (marketing, sales, operations) to align event objectives with business goals.
  • Track and analyze event metrics, provide post-event reports, and recommend improvements.
  • Create and maintain speaker/sponsor event status sheets as well as speaker/sponsor communication.
  • Provide on-site event support, including hospitality and real-time problem solving.
  • Track expenses, process invoices, and support budget reconciliation.
 What You Bring
  • 2+ years of experience coordinating B2B events, including webinars and in-person conferences.
  • Strong project management skills with the ability to handle multiple events simultaneously. 
  • Excellent communication skills, both written and verbal. 
  • Comfortable coordinating across multiple stakeholders and geographies.
  • Highly autonomous, able to take ownership of tasks with minimal oversight.
  • Detail-oriented with a knack for anticipating needs and solving problems.
  • Willingness to travel occasionally for onsite event support.

  • Familiarity with marketing tech stack detailed below.
  • Background in the healthcare IT space.
