Job Description:

Job Disclosures:

Location: Denver, CO

Compensation:  The salary range for this position is $62,613 to $70,440.  Compensation is based on location and experience.  

Deadline: The deadline for submitting applications for this position is May 30, 2025. Meow Wolf reserves the right to extend this deadline if needed.

Job Summary:

The Events Coordinator reports to the Director of Events and is responsible for supporting the Events Sales Manager and the greater Events Team in Meow Wolf Denver LLC events including private events, internal events, exhibition buy-outs and ticketed events as needed.

This role will be responsible for assisting in a variety of assignments including, but not limited to all events on or off-site that fall under the Denver LLC productions and operations.

Job Responsibilities:

  • Independently plans, organizes, launches, and facilitates event execution within approved parameters.

  • Assists in planning, organizing, launching and facilitating event execution.

  • Responsible for developing and refining standard operating procedures around event sales process and private event execution in collaboration with the assigned team.

  • Support overall Event Team goals by being a strategic partner on space activation and event calendar management

  • Responsible for the event communication distribution process ensuring information is most current, accurate and complete with consistent delivery and professional judgment applied to any necessary clarifications or updates..

  • Assist Director of Events and Events Sales Manager by working directly with clients to assess needs, propose solutions, and detail event logistics and produce accurate and complete event orders.  Work with outside vendors to negotiate and coordinate rentals, catering and activations.

  • Participate with Events Team to maximize sales, services, and operations of private event opportunities.  Work within agreed upon processes to communicate and execute events within larger exhibit operations, exercising judgment on operational feasibility and resource allocation..

  • Act as event producer to independently manage and execute all agreed upon aspects of event operations on assigned activations.

  • Coordinate with Event Sales Manager and accounting team on event billing review and maintenance, resolving discrepancies and ensuring financial accuracy.

  • Reviews  artist/vendor contracts and payments for operational alignment.

  • Leads daily communications with all affected stakeholders and vendors to anticipate issues and independently resolve minor conflicts.

  • Maintain and archive historic event data and best practices to inform ongoing event development strategies.

  • Take ownership of coordinating and creating internal events and functions with minimal supervision.

  • Work with Director of Events, Director of Marketing, Events Sales Manager, Marketing Campaign Manager and internal/ external teams to develop sales and marketing “tool kits”, presentations and WOW site experiences for each assigned sales channel.

  • Maintain a database of preferred vendors and caterers, assessing vendor performance for future recommendations.

  • On occasion, act as show-runner or artist wrangler.

  • Assist in collecting and tracking  reimbursable expenses.

  • Other duties as assigned.

 

Required Qualifications:

  • Minimum 3 years’ experience in event planning or sales in venue, entertainment, hospitality or attractions environment

  • Background and passion in event planning and/or hospitality management

  • Flexible and able to make changes quickly, efficiently, and effectively as needed, including exercising discretion in adjusting plans independently.

  • Self-motivated and patient with yourself and others

  • Must be receptive to direction and perform well within a team environment, including exercising independent judgment in event decision-making.

  • Able to assist in the management of multiple tasks and possess the intuition to make calm, solution-driven decisions in a fast-paced work environment

  • Creative problem-solving skills

  • Excellent oral and written communication skills

  • Excellent organizational skills with a strong attention to detail

  • Excellent interpersonal skills and a sense of humor

  • Adaptable to changing needs and possess the ability to take on new tasks

  • Ability to handle sensitive tasks accurately and confidently

  • Computer savvy and capable of learning new computer programs

  • Discreet and professional when handling sensitive information. Must maintain the highest degree of confidentiality

Work Environment and Physical Demands

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed must be representative of the knowledge, skills, minimum education, training, licensure, experience, and/or ability required.

Work Environment

This position works primarily in an indoor setting with occasional exposure to noisy environments, dim lighting, strong visual effects including strobing lights, special effects, fog machines and small and/or enclosed spaces. However there will be times that you will need to work outdoors in both winter and summer weather.

Physical Demands

May require heavy lifting, the careful handling of sensitive musical and other equipment, cleaning duties, guest management, and interaction with a team of individuals that will include non-Meow Wolf touring crew, artists, and artist management. May be required to lift up to 50 lbs.

The employee will comply with company and OSHA standard workplace safety protocols.  Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.  

Work Schedule

This is a full-time position with a fluid schedule which includes weekdays, weekends, evenings, and holidays.

Supervisor Responsibilities:

This position does not require direct supervisory responsibility, but exercises discretion in managing event activities and coordinating resources across multiple internal and external teams.

Travel:

Minimal travel is required for this position. Local outside sales activities required.
