The Dispatcher Assistant supports daily branch operations by assisting with dispatch scheduling, coordinating service calls, and providing administrative support to the team. This role helps ensure efficient job scheduling and communication with operators, while also performing office duties including invoicing, billing, recordkeeping, and customer service. The ideal candidate is detail-oriented, organized, and able to adapt quickly between dispatch and administrative responsibilities.
Key Responsibilities
Dispatch Support
Assist with scheduling and coordinating service calls, jobs, and operator assignments.
Communicate with drivers/operators to relay job details, changes, and updates.
Answer incoming service calls, document customer requests, and enter jobs into the system.
Provide backup coverage for the Dispatcher as needed.
Track job progress and update schedules to ensure on-time service.
Office & Administrative Support
Process and prepare customer invoices, billing, and related documentation as needed.
Maintain accurate records of job tickets, purchase orders, and billing files.
Perform general office tasks such as answering phones, filing, scanning, and ordering supplies.
Assist with data entry, reporting, and other administrative tasks as assigned.
Support customer service by handling inquiries and directing calls appropriately.
Assist with certifying driver logs, monitoring drives HOS as needed.
Qualifications
High school diploma or equivalent required; additional business or administrative coursework preferred.
1–3 years of experience in dispatch, administrative support, or a related office role.
Familiarity with invoicing, billing, or basic accounting functions preferred.
Strong organizational and multitasking skills with ability to manage shifting priorities.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook); ability to learn dispatch/accounting software.
Excellent verbal and written communication skills.
Ability to work independently and in a team environment under time-sensitive conditions.
Working Conditions
Office environment with frequent phone and computer use.
Standard business hours with occasional flexibility based on dispatch needs.
Salary: $45K+ DOE

Pay Range:
