A Snapshot of WFS Group:

WFS is a high performance RevOps agency that installs and deploys enterprise-grade, AI-driven revenue engines and selling systems for our clients. Think of a lead generation based marketing agency…. But focused on sales 🤪Put simply, our clients outsource their sales department to us and we sell their services to help them scale faster than ever before while changing as many people’s lives as possible. We architect entire end-to-end sales solutions by designing custom sales motions, integrating battle-tested systems, developing go to market strategies powered by our proprietary playbooks, and then hiring, training, and managing a highly trained on demand sales force to deploy faster and more predictable revenue engines. The current verticals we serve are the alternative education space that sell transformative programs including everything from business consulting programs, to programs that teach people how to invest in real estate, learn mergers and acquisitions and many many more, along with the software as a service (SaaS) vertical, bringing cutting edge technology products to market. In short, we’re a full-stack RevOps implementation partner that installs full cycle turnkey selling systems for our clients.

Position Overview: CRM Operations Lead

The CRM Operations Lead is a critical role focused on enhancing and scaling the CRM infrastructure that underpins our outsourced sales delivery. This role is laser-focused on HubSpot configuration, data integrity, and system enablement, ensuring that every sales team operates on a clean, reliable, and scalable CRM foundation.

You will play a key role in supporting the CRM lifecycle — from system design and documentation, to deployment for new accounts, to ongoing optimization and maintenance. Working closely with CRM leadership, sales, and data teams, you’ll help strengthen the systems, processes, and standards that drive pipeline management, reporting accuracy, and sales productivity.

Beyond technical execution, this role is about identifying opportunities to improve performance, streamline workflows, and elevate the overall effectiveness of our CRM ecosystem. You’ll contribute to building HubSpot into a true engine of operational excellence through improved integrations, stronger documentation, and more consistent system performance.

This role is ideal for a CRM operator who thrives in a growth-driven environment and enjoys improving systems that are already in motion. You’ll contribute to CRM design and governance, support onboarding of new accounts, and help reinforce the data quality and process discipline that keeps our sales organization aligned and scalable.

You SHOULD apply to this role if:
  • You’ve designed, configured, and optimized HubSpot or other CRMs across multiple teams or organizations

  • You enjoy improving and scaling existing CRM systems, not just building from scratch

  • You’ve supported or executed CRM deployments, including integrations with dialers, schedulers, and reporting tools

  • You thrive on refining workflows and contributing to documentation, SOPs, and playbooks that improve adoption

  • You care deeply about data integrity and accurate reporting

  • You’re comfortable auditing CRM setups and identifying gaps in structure, usage, or performance

  • You can balance strategic thinking with hands-on execution

  • You enjoy collaborating with leadership, RevOps, and data teams

  • You’re passionate about scalability, standardization, and continuous improvement

You SHOULD NOT apply to this role if:
  • You’ve only used a CRM without configuring or optimizing it

  • You prefer quick fixes over long-term system improvements

  • You struggle working within or improving existing systems

  • You avoid auditing, data validation, or enforcing process discipline

  • You need full ownership before you can make an impact

  • You aren’t comfortable working cross-functionally with multiple stakeholders

  • You rely only on theory or certifications without hands-on execution

  • You’re not interested in refining and improving systems at scale

Core Outcomes
  • CRM workflows, pipelines, and automations are continuously improved for scalability and performance

  • Data accuracy and reporting reliability are maintained across systems

  • CRM inefficiencies are identified and resolved proactively

  • New accounts are supported through onboarding with strong system setup and integration alignment

  • CRM documentation, SOPs, and training resources are kept up-to-date and actionable

  • CRM-related initiatives are executed in alignment with operational priorities

Responsibilities
  • Support and drive optimization of HubSpot configuration, workflows, and overall system performance

  • Audit existing CRM setups and identify opportunities for improvement

  • Assist in CRM setup, onboarding, and enhancements for new and existing client accounts

  • Collaborate with the data team to ensure CRM configuration aligns with reporting and data pipelines

  • Strengthen CRM data integrity, governance, and usage standards across teams

  • Contribute to documentation (playbooks, SOPs, workflows) to support consistency and scalability

  • Partner with leadership and RevOps to support forecasting, reporting, and operational initiatives

  • Provide support and guidance on CRM best practices and system challenges

  • Support onboarding of new sales hires and accounts to ensure adoption and alignment

  • Contribute to CRM-related projects and initiatives tied to quarterly goals
