Job Description
 

The Congress Manager within the Global Congress Center of Excellence (CoE) supports the planning and operational execution of Tier 1 congresses for Gilead and Kite, reporting to the Senior Manager, Congress Orchestration. This role is responsible for supporting Core Congress Committees, upholding process excellence, and ensuring the timely delivery of congress-related activities. The position does not lead or coordinate Tier 2 congresses.

Key Responsibilities:

Congress Planning & Execution

  • Provide project management and coordination for assigned Tier 1 congresses, collaborating closely with cross-functional teams

  • Support the Congress Orchestrator in implementing congress strategies and processes aligned with therapeutic area objectives

  • Maintain event timelines, follow-up on logistics and documentation, and escalate issues as needed

  • Coordinate compliance review processes with guidance from the Congress Orchestrator 

Committee & Team Support

  • Act as an administrative/operational resource for Core Congress Committees and Sub-Teams

  • Assist in planning for meetings, exhibit booths, and symposia related to Tier 1 congresses

  • Liaise with associations for Tier 1 congress logistics, timelines, and program details

Project Operations

  • Support exhibit booth management and onsite logistics under direction from Congress Orchestrator 

  • Maintain and update asset trackers, event documentation, pre-event and post-event materials

  • Assist with budget tracking, financial reconciliation, and purchase order processes

Communication & Reporting

  • Contribute to communications such as leadership updates, newsletters, and meeting agendas

  • Track operational metrics at the direction of the Congress Orchestrator, utilizing established systems

Compliance & Collaboration

  • Collaborate with Compliance, Legal, and Regulatory teams to ensure activities meet standards

  • Work closely with CoE affiliates and Kite teams, ensuring information flow and procedural alignment for Tier 1 congresses only

Travel

  • Up to 20%, including domestic and international meetings as required

Basic Qualifications

  • Bachelor’s degree and Six years of experience

    OR

    Master’s degree and Four years of experience

Preferred Qualifications

  • Previous exposure to large-scale event or congress management within pharma/biotech

  • Experience in supporting global event management initiatives

  • Proactive, detail-oriented, collaborative team player

  • Strong oral and written communication skills

  • Familiarity with project management platforms and standard business applications


 

The salary range for this position is: $115,260.00 - $149,160.00. Gilead considers a variety of factors when determining base compensation, including experience, qualifications, and geographic location. These considerations mean actual compensation will vary. This position may also be eligible for a discretionary annual bonus, discretionary stock-based long-term incentives (eligibility may vary based on role), paid time off, and a benefits package. Benefits include company-sponsored medical, dental, vision, and life insurance plans*.
