This position provides administrative support for individual and branch NMLS licensing, business licenses, Secretary of State registrations, compliance training coordination, and regular data audits across internal and client-facing systems.

Key Responsibilities
Licensing Support
- Assist with preparing and submitting license applications for individual loan officers and branch offices
- Track upcoming license renewals and continuing education deadlines
- Organize and upload license-related documents into internal systems and shared folders
- Monitor NMLS for updates or deficiency notices and alert the Compliance team
- Help track renewal dates for business licenses and Secretary of State (SOS) registrations
- Send reminders to internal teams and follow up on outstanding items
- Save registration confirmations and maintain organized state-by-state records
- Review license and registration data in systems like Salesforce, ARIVE, and the company website to ensure accuracy
- Flag missing or incorrect data and coordinate corrections with the team
- Keep compliance checklists, trackers, and spreadsheets up to date
Compliance Training Support
- Monitor the completion of initial and annual compliance trainings
- Send reminders to employees with incomplete training
- Upload training records and certificates to employee files
- Assist in managing shared inboxes and responding to basic questions about licensing or training
- Maintain organized folders, trackers, and documentation
- Support the team with document formatting, data entry, and file management
- 1+ year of experience in an administrative, clerical, or office support role (compliance or mortgage experience a plus)
- Comfortable using email, spreadsheets, and shared folders (Google Workspace or Microsoft Office)
- Strong attention to detail and a love for organizing, reviewing, and getting things “just right”
- Exposure to licensing, regulatory filings, or managing deadline-driven tasks
- Interest in building a career in compliance, mortgage operations, or financial services
- A problem-solver mindset with curiosity for how things work and how to improve them
- Friendly, dependable, and open to learning new systems and processes
