As Training & Enablement Coordinator, you will be instrumental in organizing and delivering the training programs, logistics, and reporting that support Heartflow's Commercial Enablement, Strategic Sales, and Sales Training & Development functions. You will be a key contributor to the success of these teams by ensuring stakeholders — including VP-level leaders across commercial functions — have timely logistics, accurate reporting, and up-to-date content and platform support.

The ideal candidate is motivated, self-directed, and highly detailed. You will serve as the operational engine for the department — supporting the full lifecycle of training and enablement programs (including New Hire, Regional, and National events), overseeing software licenses, providing high-level support for content creation and multimedia, and pulling together the analytics and reporting that VP stakeholders across the three functions rely on to track progress.

Key Responsibilities

Commercial Excellence Operations & Logistics

  • End-to-End Coordination: Partner with Commercial Enablement, Strategic Sales, and Sales Training & Development leaders to plan and execute a variety of programs and initiatives, including New Hire onboarding, Regional workshops, and National events. Provide on-site support for live classes and meetings as required.
  • Travel & Operations: Coordinate in-person and virtual meeting logistics — registration, travel, hotels, meeting space, catering, printing/shipping, and post-meeting surveys.
  • Executive Support: Provide light-touch calendaring, travel coordination, and expense report support for Commercial VP stakeholders as needed.
  • Communications Hub: Proactively manage the department inbox, triaging requests and providing timely communication and support to stakeholders — including VP-level leaders — across commercial functions.

Financial & Vendor Administration

  • Invoice & PO Management: Own the end-to-end purchase order process. Manage supplier approvals, initiate POs for new projects, and collect, submit, and track payments to vendors to ensure timely execution.
  • Expense Reporting: Submit, track, and report on all expenses related to educational events, ensuring accuracy and budget compliance.
  • License Management: Maintain and oversee licenses for our various platforms (ex: ACTO, Richardson, Canva). Ensure user seats are optimized, renewals are tracked, and the team has uninterrupted access to necessary software.

Platform & Data Support

  • Reporting & KPIs: Pull utilization and performance reports across Commercial Enablement, Strategic Sales, and Sales Training & Development, and package the data into clear, executive-ready summaries for VP stakeholders. Create and analyze post-meeting surveys to provide suggestions for program improvement.

Content & Multimedia Contribution

  • Content Support: Assist with the iteration of commercial-facing materials to ensure they remain up-to-date, clinically relevant, and brand / priority-aligned. Provide design support as needed for resources, presentations, and training collateral.
  • Video Production: Utilize Canva and video editing tools to create and edit high-level instructional content, meeting recaps, and training assets.
Skills & Background
  • Experience: 2–3 years supporting sales, marketing, or educational programs.
  • Operational Precision: Highly detail-oriented with a track record of managing logistics for multiple projects simultaneously.
  • Financial Aptitude: Experienced with the PO/invoice lifecycle, expense tracking, and vendor license management.
  • Analytical Aptitude: Comfortable pulling, organizing, and synthesizing data from multiple systems into clear reporting that a VP-level audience can act on quickly.
  • Technical Toolkit: Expert in Google Suite and MS Office (including Excel/Sheets for basic data analysis and reporting); proficient in Canva.
  • Communication: Strong ability to manage a department inbox, draft team communications, and collaborate cross-functionally, including with senior and VP-level stakeholders across multiple functions.
  • Self-Direction: A proactive problem-solver who can work independently and adapt to changing priorities and learn new technical tools and skills quickly to scale with business needs.
  • Education: BA/BS in Business, Communications, or a related field.

The base compensation range for this role is $60,000 – $75,000 depending on experience and geographic location. This role is also eligible for an annual bonus.
