Job Description

The Clinician Scheduler develops and manages schedules for clinicians at hospital locations to ensure that all shifts are fully staffed for the expected patient volume. This role will work with Clinicians, Leadership, and Site Directors to ensure appropriate clinician coverage is in place to treat expected patient volumes. The clinician scheduler contributes to the corporation’s financial performance by managing schedules based on tiered prioritization of clinician utilization, optimizing clinician availability, assisting in requesting and planning future over/under staffing needs, and adjusting as needed on a continual basis.

ESSENTIAL JOB FUNCTIONS:          

  • Creates and maintains schedules for multiple hospital locations 45 days before the start of the month.
  • Works independently utilizing scheduling software (Shift Admin) to auto-generate schedules based on customizations, rules, and weightings.
  • Establish relationships with all providers to learn their scheduling preferences and hard stops. Use discretion to determine reasonable asks and when medical director approval/denial is necessary.
  • Analyze requests, identify potential conflict areas, and determine the best solution. If unsuccessful in resolving independently, implement an escalation process.
  • Compile standard reports based on historical data to determine future staffing needs.
  • Collaborate with credentialing, RDO, Directors, or others to ensure available staffing.
  • Work with other clinician schedulers to ensure coordination of the utilization of cross-credentialed providers and days of availability.
  • Work with Scheduling Optimization to schedule traveling physicians and to optimize the site allocation process.
  • Ensure distributed days of availability allow for complete staffing of all shifts. Optimize trades and shift blocking to minimize costs of traveling physician expenses.
  • Responsible for ensuring continuity of care, shift equity, and distribution in accordance with site-specific scheduling policies.
  • Schedule providers based on budgeting tiers. Maximize the use of local FT clinicians based on contractual obligations, followed by PT, STAT, and locums in descending priority.
  • Responsible for coordinating and securing the use of outside clinician resources through locum companies within budgeted goals as necessary to complete the schedule.
  • Modification of shift maps as directed by site leadership
  • Work with the President/VP/Site Directors/RDOs to adjust the schedule for service/budget under immediate deadlines.
  • Work directly with site Physician/APP leaders to ensure optimal schedules before publication.
  • Responsible for ensuring anticipated and last-minute open shifts are filled. Responsible for communicating changes to schedule and providing all necessary parties are aware and in agreement.
  • Responsible for maintaining provider satisfaction regarding the monthly schedule. Ensures expectations are clear of clinician scheduling requirements and expectations from scheduling.
  • Ability to investigate the source of any complaints, analyze the underlying reasons, and resolve them as appropriate.
  • Responsible for setting up Shift Admin and properly applying shifts with pay codes to automate payroll through Workday integration.
  • Utilize strong judgment when deviations from established policies and procedures are necessary to complete schedules based on established deadlines.
  • Communicates terms and premium rates with providers to ensure all shifts are covered after the provider is scheduled to contract max by site leadership.
  • On Call responsibilities may be required.
  • Discretion in the escalation process when clinician leadership support is necessary to create a schedule effectively.
  • Responsible for ensuring all parties agree with scheduling policies and decisions surrounding specific issues, including local and support clinician leadership.
  • Analyze metrics and reporting, able to communicate results

EDUCATION AND EXPERIENCE: 

  • Bachelor’s degree preferred
  • Experience creating/managing complex fluid schedules
  • Shift admin scheduling experience preferred
  • Previous experience working with clinicians preferred

PHYSICAL DEMANDS:

  • This position requires long periods of sitting and reviewing data on computer monitors
  • Required to have close visual acuity to perform the job

Hourly Rate $21.59 - $39.94

Hourly rate may be determined on several factors including but not limited to knowledge, skills, experience, education, geographical location and requirements stated in job description.
