Reports to: Compliance Manager

Fully Remote, Exempt position

Salary Range: $70,000 to $85,000  depending on experience

We are seeking a detail-oriented and proactive Compliance Support Specialist to support insurance administration and claims management. This role is focused on reviewing and facilitating insurance claims, coordinating with store managers, district managers, market directors, vendors, and the Safety team, and managing claims from intake through resolution. The position also supports insurance documentation needs, including certificates of insurance, incident tracking and reporting, EHS Insight data entry and review, and day-to-day management of the claims and insurance email inbox.  This role is focused on insurance administration and claims management. Vehicle title/registration management, DOT compliance, approved driver maintenance, vehicle disposition, toll accounts, licenses, permits, and other vehicle management responsibilities have been removed from this job description.

Key ResponsibilitiesInsurance Claims Management
  • Review incoming claims and supporting documentation for completeness, accuracy, and follow-up needs.
  • Coordinate with store managers, district managers, market directors, and other internal partners to gather missing information and resolve claim-related questions.
  • Manage claims from intake through resolution, including follow-up on open items, vendor responses, status updates, and documentation needs.
  • Communicate with insurance carriers, adjusters, third-party administrators, repair vendors, towing/storage vendors, and other outside partners as needed to support claim handling.
  • Track claim status, outstanding action items, costs, and resolution notes to maintain clear and accurate claim records.
  • Escalate complex, high-cost, litigated, or sensitive claims to the appropriate internal stakeholders.
Incident Reporting & EHS Insight Support
  • Work in EHS Insight to review, update, and maintain incident and claim-related information.
  • Partner closely with the Safety team to ensure incidents are documented consistently and routed appropriately.
  • Assist with reporting on incident volume, claim trends, cost types, claim status, and other insurance or incident-related metrics.
  • Identify gaps in incident documentation and follow up with field leadership or internal teams to obtain required details.
Insurance Administration
  • Obtain and distribute certificates of insurance as requested by internal teams, landlords, vendors, customers, or business partners.
  • Maintain organized insurance documentation, including certificates, policy-related records, claim files, correspondence, and supporting materials.
  • Coordinate with insurance carriers, brokers, and internal stakeholders on documentation requests, policy questions, and claim support needs.
  • Support insurance-related reporting, recordkeeping, and follow-up to help ensure timely and accurate responses.
Claims & Insurance Inbox Management
  • Monitor and manage the shared claims and insurance email inbox.
  • Categorize, prioritize, and route incoming messages based on urgency, claim type, insurance request, or required follow-up.
  • Respond to routine inquiries, request missing information, and ensure timely follow-up on pending items.
  • Maintain clear communication and professional documentation in all email correspondence.
Qualifications
  • Bachelor’s degree in business administration, risk management, insurance, compliance, mechanical background or a related field preferred; comparable experience may be considered.
  • Minimum of 3 years of experience in insurance claims, claims administration, risk management support, compliance support, mechanical background or a related role preferred.
  • Experience working with incident reporting systems, claims management platforms, EHS Insight, or similar systems preferred.
  • Strong organizational skills with the ability to manage multiple open claims, deadlines, and follow-up items at the same time.
  • Excellent written and verbal communication skills, including the ability to communicate professionally with field leaders, vendors, insurance partners, and internal teams.
  • Strong attention to detail and ability to maintain accurate records, documentation, and follow-up notes.
  • Proficiency with Microsoft Office, Outlook, Excel, Teams, and shared inbox management.
  • Ability to handle sensitive claim and incident information with discretion and professionalism.
  • Proactive problem-solving approach with the ability to identify missing information, ask clarifying questions, and drive items to resolution.
