Job Summary

The Chief of Staff to the CTO will play a key role in ensuring the smooth operation of the technology organization by providing project management support, coordinating initiatives, and ensuring effective follow-through on priorities. This role focuses on execution, organization, and operational efficiency, helping the CTO and the technology team stay aligned and productive as the organization grows. Additionally, this role will support hiring and recruiting efforts across the organization and drive continuous improvement initiatives to enhance team processes and outcomes.

Key Responsibilities:

1. Operational Coordination and Execution:

  • Manage the CTO’s calendar, meeting schedules, and action item follow-ups.

  • Support the creation and maintenance of tools, processes, and systems to improve team efficiency.

  • Monitor action items and drive accountability across teams to maintain alignment with priorities.

  • Track and update progress on OKRs/KPIs for the technology team.

2. Cross-functional Collaboration:

  • Act as a central point of coordination between the technology team and other departments for project updates and dependencies.

  • Facilitate effective communication and collaboration across teams and sites, to achieve shared goals.

3. Team Organization and Support:

  • Help prepare for team meetings, including agenda setting, documentation, and follow-up on action items.

  • Support the onboarding process for new team members within the technology organization.

  • Organize and manage team events, offsites, and other engagement activities.

4. Continuous Improvement:

  • Identify opportunities to improve processes, workflows, and team efficiency across the organization.

  • Lead initiatives to implement best practices and tools that enhance team productivity.

  • Foster a culture of continuous learning and improvement within the technology team.

5. Hiring and Recruiting Support:

  • Collaborate with HR and hiring managers to coordinate recruiting efforts for the technology team.

  • Assist in the scheduling and management of interviews and ensure a smooth candidate experience.

  • Track recruiting metrics and support efforts to build a strong talent pipeline.

A plus if you have experience in:

Project Management Support:

  • Assist in planning, tracking, and reporting on key projects and initiatives within the technology organization.

  • Coordinate project timelines, deliverables, and dependencies to ensure successful outcomes.

  • Identify and address roadblocks, escalating issues when necessary.

Experience, Skills, and Required Qualifications

  • Experience: 3-5 years of experience in executive-level administrative support, operations, or a related role. Experience in a technology or startup environment is a plus.

  • Education: Bachelor’s degree in a relevant field (engineering preferred).

  • Organization Skills: Strong ability to manage multiple tasks and priorities in a fast-paced environment.

  • Communication Skills: Excellent written and verbal communication skills, with a focus on clarity and detail.

  • Project Management: Familiarity with project management tools and methodologies; experience in tracking and driving project progress.

  • Ownership: Highly organized, with a strong focus on accuracy and follow-through.

  • Adaptability: Comfortable working in a dynamic environment and adjusting to changing priorities.
