Position Summary
The Cerity Partners Family Office is seeking a client-focused and detail-oriented Bill Pay & Concierge Specialist to join our Bill Pay Team. In this role, you will manage the end-to-end bill payment process, organize ongoing projects, and coordinate high-touch concierge requests for UHNW individuals and families. The ideal candidate thrives in a fast-paced environment, has exceptional organizational skills, and brings a solutions-oriented, client-centric mindset to all aspects of their work.
Primary Responsibilities
Bill Pay & Expense Management:
Manage the full lifecycle of bill payments, including intake, processing, approvals, and reconciliation
Diligently organize and monitor all open invoices, outstanding balances, and recurring bills, ensuring all obligations and deadlines are met
Client & Concierge Support:
Serve as a primary point of contact for clients, vendors, and third parties on a wide range of bill pay and administrative matters
Coordinate personal and concierge tasks such as renovation tracking, household employee support, and ad hoc requests
Provide exceptional client experiences, responding promptly and professionally to all client requests with a high level of discretion and care
Process & Technology:
Collaborate with advisors, client teams, and internal specialists across cross-functional initiatives
Leverage proprietary tools and resources to ensure timely and accurate completion of all deliverables
Support the implementation of new technologies, tools, and process improvements to enhance team efficiency
Required Qualifications
Skills & Attributes:
Meticulous attention to detail and commitment to accuracy
Client-first mindset with excellent verbal and written communication
Strong organizational and time-management skills
Comfortable handling sensitive information with professionalism and discretion
Proactive, resourceful, and independently motivated
Technical Proficiency:
Experience with bill payment systems, Bill.com preferred
Strong working knowledge of Microsoft Office, particularly Excel
Experience with QuickBooks a plus
Ability to adapt and learn new systems and tools quickly
Experience & Education:
5+ years of experience in bill pay, accounts payable/receivable, banking, or related finance role
Experience working directly with clients or vendors in a service-oriented capacity preferred
Bachelor’s degree or equivalent professional experience
