Job Summary:

KBR is seeking an Associate Proposal Coordinator with experience in a DoD contracting environment to join our team. The role requires exceptional organizational skills, strong interpersonal abilities, and a customer service-oriented mindset to manage and coordinate proposal development efforts effectively. The ideal candidate ensures compliance with proposal requirements, collaborates with cross-functional teams, and contributes to high-quality, competitive submissions.

Roles and Responsibilities:

  • Coordinates the administrative aspects of the proposal process and, in some cases, manages the proposal team. Works with multiple functional and operational personnel in a deadline-driven environment to develop compliant, winning proposals in response to government Requests for Proposal (RFPs).
  • Coordinates the requirements of multiple proposals and proposal teams simultaneously, acting as the manager for subcontract proposals and the assistant to the manager on prime proposals.
  • Works with business development capture managers to formulate teams with other companies and coordinates non-pricing related data calls.
  • Searches SAM.gov or agency-specific systems and works with internal company points of contact to obtain RFP documents and opportunity updates.
  • Upon release of the RFP,  the Associate Proposal Coordinator reviews and interprets RFP requirements, creates change documents highlighting amendments and other changes. Pays close attention to all instructions related to proposal preparation, production, submission, and delivery.
  • Prepares compliance matrices as needed. Works independently and/or with the Proposal Manager to guide the technical team toward successful proposal completion.
  • Maintains configuration control of documentation and access to the proposal management system. Coordinates data calls for information from internal teams and external companies. Coordinates and prepares past performance requests from current and previous government customers. Works with the Proposal Manager to select color team reviewers and schedules and participates in color team reviews.
  • Builds response templates for proposal writers and edits and formats proposal documents to ensure compliance with company styles and RFP requirements. Coordinates white-glove review and production of the final product for submission. Coordinates hard-copy submittals, including covers, binders, tabs, graphics, production support, and delivery.
  • Supports ad hoc activities as needed by the Proposal Manager and fills in as Proposal Manager when required. Performs limited ad hoc writing responsibilities.
  • Communicates with the Proposal Manager regarding schedules, meeting agendas, task status, outstanding assignments, pending deadlines, and emerging requirements.
  • Develops, maintains, and updates supporting documents such as the Pursuit Management Center (PMC) User List and the Color Team Reviewer List. Develops and updates proposal response templates in accordance with the final solicitation.
  • Attends virtual and in-person proposal meetings and hosts meetings as needed. Prints required documents for in-person meetings. Presents proposal process information during proposal kickoffs, including graphics processes and PMC usage, and provides training on processes and tools as required.
  • Supports the professional look and feel of proposals by providing desktop publishing and copyediting support and coordinating graphics production and cover art with the assigned Graphics Designer.
  • Assists with desktop publishing efforts prior to each color team review and prior to final submission, including editing, formatting, style application, and table of contents creation, to confirm that all proposal documents comply with KBR branding and proposal guidelines.
  • Assists with administration of PMC sites, including user access management.
  • Assists with closeout activities, including updating the PMC site status.
  • Under general direction, uses specialized knowledge and skills to solve complex and unique problems.
  • May direct resources, prioritize tasks, and provide guidance to less experienced team members.
  • Relies on experience, interpersonal skills, and broad knowledge of the field to ensure task completion in compliance with KBR policies, procedures, and business strategy.
  • Provides in-depth training to team members.

Basic Qualifications:

  • U.S. Citizen residing in the United States.
  • Bachelor’s degree plus two years of proposal coordination experience required; additional experience may be substituted for a degree.
  • Experience working in a DoD contracting environment, including knowledge of government contracting processes and regulations (FAR and DFARS).
  • Experience communicating with the Proposal Manager regarding schedules, meeting agendas, task status, outstanding assignments, pending deadlines, and emerging requirements.
  • Advanced knowledge of Adobe and Microsoft products, including Acrobat, Word, Excel, PowerPoint, SharePoint, and Project.

Preferred Qualifications:

  • Bachelor’s degree plus five years of proposal coordination experience.
  • Impeccable organizational skills.
  • Experience with Artificial Intelligence (AI) and other Commercial Off The Shelf (COTS) proposal tools, such as Visible Thread.
  • Ability to multitask, prioritize, and meet deadlines.
  • Exceptional interpersonal skills and strong customer service orientation.
  • Excellent written communication skills.
  • Demonstrated ability to lead efforts.
  • Experience using AI tools to support proposal development.
  • Experience supporting GSA efforts, including FEDSIM, and Other Transaction Authority (OTAs).
  • APMP certification.

Work Location: Hybrid position, with office location in either Lexington Park, MD; Charleston, SC; or Colorado Springs, CO.

Compensation: $68,500.00 - $102,800.00. The salary range posted is based on the national average.  The offered rate will be based on the selected candidate’s location, knowledge, skills, abilities, and/or experience, contract affordability, and in consideration of internal parity.
