AI Builder — Internal Tools, Automations & Integrations

Position Overview

We're looking for an AI Solutions Engineer to design and build practical AI-powered tools that solve real operational problems inside Well Oiled Operations (WOO) — dashboards, internal bots, automations, and workflow integrations. This isn't a research or model-training role. It's a "we describe the problem, you build the solution fast" role. Over time, this role may expand into building AI-powered tools and features for WOO clients.

You'll report to the VP of Operations, who owns the build queue and sets priority. You bring the solution design and the build.

This Is Not the Role If You're Looking For
  • ML research or academic work

  • Model training or fine-tuning

  • Prompt-engineering coaching, training, or enablement

  • AI strategy consulting — we don't need a roadmap deck, we need shipped tools

Key Responsibilities

1. Intake & Scoping

  • Join a weekly intake review with Operations to hear what's slow, manual, or expensive across the business.

  • Turn vague problems ("I spend too long pulling this report") into concrete, scoped AI-powered solutions.

  • WOO owns problem intake and prioritization. You own solution design, build, and iteration.

2. Building

  • Build internal tools using the Claude and Gemini APIs, automation platforms (Zapier, Make, n8n), and integrations with our existing stack (Slack, Gmail, Google Drive, monday.com, HubSpot, Stripe).

  • Build dashboards, bots, and reporting tools that pull live data and save the team hours every week.

  • Ship fast. Working prototypes over polished decks.

3. Iteration

  • Get tools in front of the team quickly, gather feedback, and improve them.

  • Kill what doesn't work. Double down on what does.

4. Documentation & Handoff — a deliverable, not a nice-to-have

  • Every tool ships with a one-page runbook: what it does, what systems and data it touches, how to fix it when it breaks, and what will break it. A tool without a runbook is not complete and is not accepted.

  • Train team members on how to use what you build.

5. Growth Path

  • As internal systems mature, help scope and build AI-powered features for WOO clients and programs.

Required Skills and Qualifications
  • Demonstrated experience building and shipping AI-powered tools — portfolio or examples matter far more than a degree.

  • Strong hands-on experience with the Claude and Gemini APIs, prompt engineering, and connecting AI to real business data.

  • Agent and workflow design — multi-step flows, tool-calling, orchestration, and knowing when an agent is the wrong answer.

  • MCP / connector building — wiring models to internal systems through a maintainable interface.

  • Prompt evals and regression testing — you can prove a change made a tool better, not just different.

  • Token and API cost management — you design with spend in mind and can explain the unit economics of what you built.

  • API fluency across our stack: HubSpot and monday.com APIs, plus Google Apps Script (we run on Drive and Gmail).

  • Enough coding ability (Python, JavaScript) to build custom tools when no-code isn't enough — including API auth, webhooks, rate limits, and error handling.

  • Ability to work directly with non-technical leaders and translate a business problem into a working tool without a long spec process.

  • Fast execution. Comfortable with ambiguity and shipping v1s that get refined in the field.

Preferred Qualifications
  • Experience building for a small business, agency, or online education company (vs. enterprise).

  • Experience with dashboards/reporting tools pulling from Stripe, CRMs, or similar.

  • A track record of independent projects — indie tools, automations, side projects — that show initiative.
