We are seeking a highly organized and detail-oriented Remote Administrative Assistant to support daily business operations, executive scheduling, communication management, and administrative coordination in a fully remote environment. The ideal candidate is proactive, tech-savvy, dependable, and capable of managing multiple priorities while maintaining confidentiality and professionalism.
This role requires strong communication skills, time management, and the ability to work independently with minimal supervision.
Key Responsibilities
Administrative Support
- Manage calendars, appointments, and scheduling across multiple time zones
- Coordinate meetings, prepare agendas, and distribute meeting notes
- Organize and maintain digital filing systems and company records
- Handle data entry, document preparation, and report generation
- Draft, edit, and proofread emails, correspondence, and presentations
- Maintain confidential information with discretion
Communication Management
- Serve as a primary point of contact for internal and external communications
- Respond to emails, phone calls, and messages promptly and professionally
- Follow up on pending tasks, deadlines, and client requests
- Coordinate communication between departments, vendors, and stakeholders
Operational Coordination
- Assist with project tracking and workflow management
- Monitor task completion and update project management systems
- Support onboarding processes for new employees or contractors
- Coordinate travel arrangements, expense reporting, and reimbursements when needed
Customer & Client Support
- Provide excellent customer service through email, chat, or phone
- Schedule client appointments and maintain CRM records
- Handle basic client inquiries and escalate issues appropriately
- Maintain positive professional relationships with clients and vendors
Technology & Systems Management
- Use remote collaboration tools such as:
- Microsoft Office

- Maintain accurate records in databases and cloud systems
- Troubleshoot minor administrative or technical issues independently
Required Qualifications
- High school diploma or equivalent required; associate’s or bachelor’s degree preferred
- 1–3+ years of administrative, virtual assistant, customer service, or office support experience
- Excellent written and verbal communication skills
- Strong organizational and multitasking abilities
- Ability to work independently in a remote environment
- Proficiency with office software and virtual collaboration tools
- High attention to detail and accuracy
- Reliable internet connection and dedicated remote workspace
