Job DescriptionWe are seeking a highly organized and proactive Executive Assistant to support our Wise US leadership team. This role is perfect for someone who excels in administrative efficiency, process optimization, and thrives in a fast-paced fintech setting. Based in Austin, Texas, you will enable leaders to focus on strategic growth while ensuring operational excellence across our North American entities.
Executive Support & Administration
Manage executive's calendars for optimal utilization.
Handle approvals/signatories and Workday administration for the stakeholder.
Gather and share briefing documents for key meetings.
Project & Meeting Management
Oversee projects and provide updates.
Facilitate leadership meetings: prepare agenda, ensure correct attendees, capture outcomes/actions, and follow-up.
Plan and support delivery of leadership offsites, org-wide events (squad/team days), and company-wide events (Mission days), including venue, invites, content, and external provider coordination (workplace/AV).
Stakeholder and Team Collaboration
Plan and support travel logistics and agendas.
Partner with People Team on cyclical people activities (Performance management, promotions, pay, training).
Assist Finance BP with cascading budget updates.
Partner with People Team to review and cascade Peakon results for action.
Process Improvement & Recruitment
Manage vendors (onboarding, workflows, payments).
Identify and implement workflow/process improvements.
Support staffing and recruiting: manage interviews, track notes, and assist with offers.
Proven capability in an administrative, or executive assistant position, operations coordination, or comparable role.
Strong organizational skills with the ability to manage multiple priorities, deadlines, and confidential information.
Excellent communication and interpersonal abilities to liaise with senior leaders, regulators, and external stakeholders.
Ability to work independently, with occasional travel for events/off-sites.
Working on multiple time zones domestically and internationally.
Proficiency in Google Suite and other collaboration tools, such as Slack.
