We are seeking an organized, dependable, and professional Administrative Assistant to provide administrative and clerical support to our team. The Administrative Assistant will help manage daily office operations, maintain records, coordinate schedules, prepare documents, communicate with employees and customers, and ensure administrative tasks are completed accurately and efficiently.

The ideal candidate is detail-oriented, organized, professional, and comfortable managing multiple priorities in a fast-paced work environment.

Key Responsibilities

  • Provide general administrative and clerical support to management and staff.
  • Answer and direct telephone calls, emails, and other correspondence.
  • Greet visitors and provide professional customer service.
  • Schedule and coordinate appointments, meetings, and events.
  • Maintain calendars and assist with scheduling changes.
  • Prepare, format, proofread, and organize letters, reports, presentations, spreadsheets, and other documents.
  • Enter and update information in databases, spreadsheets, and company systems.
  • Maintain accurate electronic and paper files and records.
  • Organize and manage office documents and correspondence.
  • Process invoices, purchase orders, expense reports, forms, and other administrative paperwork.
  • Assist with ordering office supplies and maintaining office inventory.
  • Coordinate mail, deliveries, shipping, and other office communications.
  • Assist with travel arrangements, meeting preparation, and expense documentation when needed.
  • Prepare meeting agendas, take notes, and distribute meeting materials.
  • Assist employees, customers, vendors, and visitors with general questions and requests.
  • Maintain confidentiality of company, employee, customer, and financial information.
  • Assist other departments with administrative projects and special assignments.
  • Monitor deadlines and follow up on outstanding administrative tasks.
  • Perform other duties as assigned by management.

Required Qualifications

  • High school diploma or equivalent required.
  • Previous administrative, clerical, office, or customer service experience preferred.
  • Strong written and verbal communication skills.
  • Excellent organizational and time-management skills.
  • Strong attention to detail and accuracy.
  • Proficiency with computers, email, Microsoft Office, Google Workspace, or similar software.
  • Ability to manage multiple tasks and prioritize work effectively.
  • Professional telephone and email etiquette.
  • Ability to work independently and as part of a team.
  • Reliable, punctual, and dependable.
  • Ability to maintain confidential information.

Preferred Qualifications

  • Previous experience as an administrative assistant, office assistant, receptionist, or secretary.
  • Experience with Microsoft Word, Excel, Outlook, and PowerPoint.
  • Experience with Google Docs, Sheets, Drive, and Calendar.
  • Experience with scheduling, filing, data entry, and document management.
  • Experience using CRM, HR, accounting, or office-management software.
  • Bilingual or multilingual communication skills may be preferred depending on business needs.

Compensation & Benefits
