Role Overview

We're seeking a dynamic Administrative Assistant to join our busy front office. The ideal candidate will have a background in administrative and clerical responsibilities, be organized and detail-oriented, and have excellent customer service skills. You'll be part of a team handling approximately 250 calls per day, assisting walk-in visitors, and managing emails and voicemails. Additionally, you'll be responsible for stocking and maintaining our employee breakroom.


Essential Duties: In addition to related job duties as assigned, this position will:

  • Perform administrative duties for the team as directed.
  • Assist with the administration of document and matter management software system.
  • File, scan, provide information, and ensure compliance with all regulations, policies, and procedures.
  • Provide administrative support to higher level staff on both routine duties and special projects.
  • Handle general inquiries from external parties and customers via computer, phone, and in-person.
  • Provide clerical support for the office (filing, mailing, faxing and forwarding correspondences to appropriate parties).  
  • Provide information and assistance to internal and external customers.
  • Assist with administrative tasks such as responding to messages/inquiries coming in.
  • Maintain a clean and well-stocked employee breakroom, including making coffee, stocking snacks, cleaning the refrigerator, and ensuring proper maintenance.
  • Answer and transfer a high volume of phone calls in a professional and timely manner, as part of a three-person team.
  • Act as the dedicated assistant focusing solely on front desk duties along with two other administrative assistants with dual responsibilities. 
  • Assist visitors with badges and asking them to sign them in and out on a log.
  • Train new Administrative Assistants as needed.
  • Reliable, regular, and predictable attendance is a requirement of this role.
Qualifications

Qualifications, Experience & Knowledge

  • 1-2 years of experience in a customer service or administrative role
  • Strong verbal and written communication skills
  • Ability to multitask and prioritize tasks effectively
  • Excellent customer service skills
  • Problem-solving and organizational skills
  • Proficient with Microsoft Office Suite and basic computer applications
  • Ability to work independently and as part of a team
  • A positive and professional attitude
  • Preferred skills:  Experience with Adobe Acrobat and basic project management skills

 

Physical Requirements

  • Stationary position; prolonged periods at a desk and working on the computer.
  • Occasional movement about inside the office to walk to offices and office machinery.
  • Occasional lifting up to 10 pounds, must be able to push, pull, pull up, bend at the knees and waist, twist body at the waist, raise and hold arms overhead, turn head-neck-shoulders as needed, grasp and hold tools and other items with hands, for either extended periods of time or many times throughout the workday.
