AMP Robotics is hiring an Office Manager who will keep the AMP Robotics office organized and running smoothly. The Office Manager will play a vital role in building internal relationships, coordinating office operations, and communicating all office changes and events to the team. The company is growing at a rapid rate, and we need a determined individual who can ensure that AMP provides an exceptional workplace experience for our employees and our visitors. The Office Manager is one of the first people that visitors to AMP Robotics will meet, and therefore is critical in representing the AMP culture.
As our Office Manager, you will work to:
- Lead and point of contact for office administrative duties, ensure that office is operating efficiently and smoothly for all employees.
- Oversee facility needs and communicate with property management to resolve issues including ongoing maintenance and repair of building systems and grounds.
- Coordinate support of all office equipment, phone systems, and relevant software, and work with various vendors on upgrading or maintaining services; provide basic IT support to staff.
- Prepare for customer meetings; greet and direct customers; receive incoming calls and distribute incoming mail.
- Assist with office-wide calendaring and internal communication
- Manage the security systems for all facilities including overseeing access card distribution
- Ensure conference room upkeep throughout the day and prepare rooms for meetings, including Audio/Visual systems setup and availability
- Manage, order and stock inventory of kitchen and office supplies, maintaining a clean and organized office
- Plan and execute small to midsize company-wide events and successfully keep within budget
- Assist human resources with on-boarding of all new staff
- Oversee conference room schedules and insure effective utilization of meeting spaces
- Manage the reception of visitors, and develop a system for greeting visitors, directing phone calls
- Develop office policies and procedures, and ensure they are implemented appropriately
- Assist with office layout planning and office moves
- Provide other administrative or project support as necessary, including scheduling group meetings, maintaining calendars, and doing specific research
Your background and experience will likely include:
- Bachelor's degree in business administration, communications, or a related field
- 3-5 years of work experience in an administrative/office management role
- Highly proficient in office, vendor, and facilities management
- Knowledgeable in small event planning
- Strong problem-solving skills and analytical abilities
- Must have exceptional attention to detail
- Punctual, hyper-organized, strong time management skills and always on top of things
- Must be a self-starter and driven
- Excellent communication and interpersonal skills-be friendly and personable as you will be the lead point of contact throughout the office
- Must be proficient with Microsoft Office, Google products and other applicable software tools
- Experience with People Operations functions like recruiting coordination
