Job Description:
The Facilities Assistant II is responsible for providing superior customer service to our clients and our associates. He or she will report to the Facilities Manager and may have a wide-variety of responsibilities, including general maintenance, mail distribution, office supplies inventory, and conference room services. The RingCentral Facilities Assistant II must project a positive attitude while being able to handle difficult and sometimes stressful situations. The ideal candidate should be a fast learner with an open mind and be able to manage multiple tasks and projects while working independently with a strong attention to detail.
Responsibilities:
- Demonstrate courteous and helpful attitude to all
- Respond to all client inquiries and concerns, ensure timely and quality service to clients
- Handle general and routine maintenance as needed
- Make basic office repairs that may include hanging white boards, TV mounts, furniture adjustments
- Update ongoing maintenance log and report issues for repair
- Receive, sort, and distribute incoming mail and packages
- Ensure common areas and conference rooms are kept clean, orderly, and functional
- Maintain office supply inventory, organize supply cabinets and storage rooms
- Resource and support internal employee and equipment moves
- Ensure new hires have a clean, functional workstation on day one
- Provide support for hosting department and company-wide events
- Participate and be an active member of the emergency response team
- Coordinate vendors that may include janitorial, food services, furniture, mechanical, electrical, security
- Perform various administrative tasks as needed and assist on special projects as required
- Act with diplomacy and discretion in handling confidential information
Qualifications:
- Minimum of one year of Mailroom / Shipping & Receiving related experience in fact-paced office environment. - Some light Facilities experience is preferred, but not required
- Strong customer service skills and must be able to work well in a team environment
- Excellent written and oral communication skills
- Proficient knowledge of computer and MS Word, Excel, PowerPoint, Outlook systems
- Must be comfortable climbing on a ladder and using power tools
- Possess strong attention to detail and good record-keeping and organizational skills
- Must be able to lift and carry 40 lbs
- May be required to occasionally work outside of normal business hours and overtime to meet deadlines
- May be required to work on their feet most of the day
- Ability to multi-task and manage priorities in fast-paced tech environment
