Payroll & Benefits Administrator
Ibotta is looking for a Payroll & Benefits Administrator who will be responsible for all aspects of payroll and benefits administration, as well as onboarding and offboarding system and data processes. We are looking for a tech savvy, detail and process-oriented individual who can independently coordinate all HR-related data sets, within a fast-paced and dynamic technology company.
What you’ll do:
- Lead multi-state payroll processing for 600+ employees (exempt & non-exempt) on a bi-weekly basis, including time tracking, garnishments, flexible time off (FTO), absence management, variable compensation oversight, benefits and 401K deductions
- Ensure the accurate processing of new hires, promotions, and terminations by conducting regular audits
- Work closely with accounting to ensure the accurate and timely posting of journal entries and account reconciliations. Assists accounting with month-end close and fluctuation analysis related to salary accounts
- Provide support for the annual 401(k) and financial audits
- Assure payroll information is accurate through review, audit and completion of all payroll reconciliations on a bi-weekly basis
- Critically review and analyze current payroll procedures, implement best practices, and help maintain proper internal controls
- Own variable compensation model, to include tracking and accruals, for quarterly and annual bonus payouts
- Leverage compensation benchmarking software, build salary grade strategy for all departments and positions across the organization; subsequently ensure these grades remain current and competitive through quarterly audits
- Track key payroll KPI’s, resolve issues, and conduct root cause analysis
- Ensure compliance with all applicable local, state, and federal tax, wage, and hour laws
- Assist with the technical set-up and maintenance of HR/Payroll system, including integrations, data imports, and ad hoc reporting
- Oversee all employee inquiries related to payroll and benefits; responds in a timely manner
- Perform the review of quarterly tax filings and annual W-2’s prior to distribution
- Responsible for all required communications and government reporting
- Lead special projects, as needed, to include compensation redesign, improved people analytics and support implementation to new HRIS tool
What we’re looking for:
- 3– 5 years of HR Operations experience required (payroll and HRIS systems experience preferred)
- Experience in compensation design and implementation is a plus
- Bachelors degree in Human Resources, Business or related field
- Intermediate to advanced skills in Microsoft Excel
- Experience with Paylocity, Dayforce or other HR systems preferred
- Must have demonstrated ability to multi-task, be detail oriented, and provide excellent customer service
- Excellent problem-solving skills with demonstrated ability to investigate and identify system issues and problems
- Deep understanding of payroll and payroll tax laws
- Able to organize and write procedures in a logical/methodical manner
- Strategic thinker for growing organization
- Ability to maintain confidential information
- Ability to work independently and collaborate with a team
