Responsibilities:

  • Manage the team inboxes, responding to all incoming messages in a professional, timely manner and looping in the appropriate parties as necessary
  • Collaborate with the program manager and/or specialist on the creation of custom itineraries for all Experiences and continuously update with necessary travel information. Ensure final itineraries no later than two weeks before the trip arrival date
  • Organize and confirm trip planning requests for members in a professional, timely manner
  • Complete pre-planning calls with members traveling on Experiences as needed
  • Refer to organized notes on pricing for program extensions, pre, post, and in-program transportation requests, special activities, dinner reservations
  • Ensure all travel documentation requirements (Visas, passports, birth certificates, affidavits, documentation for minors) are up to date and completed within specified timelines
  • Work with the onsite team to accommodate any special requests by member or PVA for special occasions such as birthdays, anniversaries, holidays. Input all member-specific information into program manifest
  • Maintain a strong working relationship with members traveling on Experiences
  • Provide onsite team with member profile summaries and special request details
  • Support Lead and Manager on newsletter communications for programs as needed
  • Provide onsite support for programs as needed and dictated by Experiences leadership

Required Skills: 

To perform the job successfully, an individual should demonstrate the following competencies: 

  • Software Expertise - Proven expertise in the Microsoft Office Suite
  • Luxury Travel Experience - Experience in the luxury travel industry is preferable
  • Project Management - Must be able to manage multiple tasks simultaneously, ensuring that all components of each task are properly presented, managed and reported
  • Problem Solving – Must be able to solve problems in a timely manner; gather and analyze information skillfully and efficiently; and work well in group problem solving situations
  • Communication Skills - Must be able to communicate effectively, professionally and in a concise manner, both verbally and in writing
  • Adaptability – Must be able to adapt to changes in the work environment; manage competing demands; change approach or method to best fit the situation; able to deal with frequent change, delays, or unexpected events, appreciates opportunity to adjust and adapt with growing business
  • Flexibility – Things move fast at Inspirato; being agile is a key to your success

Qualifications: Candidate must meet the following qualifications: 

  • A minimum of 2 years of experience working successfully in a similar business.
  • A degree in Resort and Hospitality Management preferred.
  • Spanish language skills preferred
