This role is based in our Denver office and reports to the Office Manager.
How you'll make an impact
The First Impressions Coordinator, as the initial face of Xero Denver, will create an exceptional first impression for all visitors. This person is also responsible for all administrative and coordination tasks which are an important part of managing a busy reception and providing internal customers a great level of service.
What you'll do
- Welcome all visitors with a courteous and professional manner
- Ensure reception area reflects the Xero image and culture keeping a professional appearance at all times
- Work with Office Manager and Xero accounting department to raise and manage purchase orders
- Assist with the reconciliation of invoices and company credit card charges in a timely fashion and consistent with Xero travel and expense policy guidelines
- Organize travel and accommodations for staff and candidates as required in accordance with Xero travel policy
- Ensure kitchen areas is tidy and manage communications on all staff to keep tidy
- Assist with coordinating and managing set-up of internal events
- Provision and programming of security access cards, maintaining the database and providing activity reports
- Coordinate/manage all supply orders for the Denver office including, snacks, drinks, kitchen supplies, office supplies in coordination with the Office Manager.
- Coordinate mail system sort postal mail, organize couriers, facilitate the distribution of packages to staff
- Assist with the set-up of meeting rooms as required by ensuring that the relevant people are aware of requests so that the customers needs are met
- Help and support the WX Team achieve regional strategies
- Liaison with the Office Manager on opportunities for improving service delivery
- Supporting with administrative project work as required
- Other office related duties that may arise from time to time

Critical competencies
Ability to quickly learn new systems and processes
Ability to effectively prioritize workload to ensure that multiple activities are completed in an efficient manner to a high standard
Ability to effectively manage customer expectations to ensure that requests can be completed to the required standard within an appropriate time frame
Excellent written and verbal communication skills with an ability to effectively communicate with all levels of the business
Ability to handle pressure and meet deadlines within a busy environment
Ability to identify opportunities for improving service delivery and develop plans for bringing such opportunities to fruition
Ability to lift up to 30lbs
Experience
- Hospitality experience or executive administration experience a plus.
- A minimum of 1 year experience in a similar environment
- Exceptional customer service skills with confidence in dealing with difficult customers in an effective, friendly and professional manner
- Well developed computer skills with intermediate level understanding of Google docs, Slack, GoTo Meeting, Envoy and Zendesk a plus
- Excellent organizational skills, accuracy and attention to detail
- A high-school diploma is required, and an Associate degree or higher is preferred
