Position Summary

 

A successful Business Support/Administrative Assistant will be self-motivated, energetic, trustworthy, professional, and possess strong attention to detail in a demanding work environment. This opportunity allows for the ability to learn in a dynamic environment, collaborate and execute projects/tasks from inception to completion with minor guidance, and desire to grow within a variety of departments is essential. The ideal candidate can create structure and order in their processes, pay close attention to detail, and document what they do, while continuing to be extremely organized. Successful candidates in the role will have the potential to grow into other complex roles within the organization.

Primary Responsibilities

  • Perform general administrative, clerical, and operational support to all extensions of the organization including but not limited to: 
    • Calendar management, scheduling, and meeting coordination
    • Invoicing
    • Communications
    • Inputting and auditing travel expenses 
    • Recording and distributing mail to appropriate persons and/or departments
    • Online file management and maintenance
    • Management of company lists and directories
    • Data entry with high level of accuracy
    • Client, visitor, and employee assistance and reception in-person and via phone (part-time front desk coverage)
    • Office supply coordination 
    • Upkeep of physical office space 
  • Develop and maintain existing relationships with various vendors
  • Promote adherence to all company-wide compliance and safety requirements 
  • Support various business teams to implement processes, procedures, and policies as needed
  • Uphold high standards of confidentiality
  • Other duties as assigned

 

Required Qualifications 

  •  3+ years of administrative support, required; experience working within a professional services environment, preferred
  • Absolute discretion, in order to handle sensitive/confidential situations and documentation, required
  • Strong drive to achieve results and the ability to self-motivate in the face of multiple priorities while managing time efficiently, required
  • Ability to prioritize situations while maintaining strong attention to detail is critical
  • Strong interpersonal skills, good judgement and intuition, and the ability to communicate with all levels of the organization are required
  • Experience with Microsoft Office 2016
  • Intermediate Excel skills
  • Highly organized and deadline driven
  • Experience with Google Docs and Google Drive
