Rogue Wave is currently looking for an energetic, conscientious, and detail-oriented individual who enjoys making a difference, being part of a team and takes pride in their work. As the Sales Administrative Assistant, you must provide a high-level of support to our Sales leadership and must be able to juggle multiple tasks with superb accuracy.

Position Summary:

Provide support to the Sales leadership organization and key members by performing administrative duties for key management team members. The position requires some analysis and use of independent judgment with frequent access to confidential and highly complex information and contacts requiring considerable discretion, judgment, tact and diplomacy. 

Job Responsibilities:

  • Maintain sensitive files and records as well as general client files
  • Coordinate and make arrangements for all travel reservations and appointments as well as providing detailed itinerary for each trip
  • Prepare reports, manuals, agendas, presentations, and correspondence
  • Review and answer mail and inquiries on own initiative and determine within established guidelines if executive action is required
  • Provide back-up coverage for other Administrative Assistants
  • Scheduling and organizing of meetings and events on or off-site as requested
  • Manage the Corporate Travel program
  • Additional Responsibilities as assigned

 Business/Technical Competencies:

  • Expert level in Word, Excel, PowerPoint, and Outlook; plus, solid knowledge of Internet research required
  • Solid background and knowledge in preparing all aspects of complex meeting and travel schedules
  • Exceptional verbal and written communication skills, as well as reading and comprehension, explanation skills and some math skills are required
  • Strong organizational skills
  • Ability to make routine decisions without consulting management
  • Possess the ability to plan and organize many different tasks simultaneously
  • General working knowledge of standard office machines as well as conferencing tools (WebEx, GoToMeeting, etc ) and communication tools (Slack)
  • Ability to interact with all persons in the organization and throughout the business in a positive upbeat manner
  • Proactive, self-starter, able to work independently or as part of a team in a fast-paced environment

Work Experience and Education:

  • A minimum of 3+ years’ work experience at the administrative assistant level
  • Experience working with Sales Organizations
  • Expert level in Word, Excel, PowerPoint, and Outlook
  • Previous experience developing/managing a corporate travel program
  • Associates Degree preferred
  • Professional certifications and listing of completed seminars and other training courses preferred
