The Executive Assistant to the VP of the SolidFire Group within the Cloud Infrastructure Business Unit plays a critical part in enhancing productivity for the VP with broad responsibilities working in NetApp’s fast paced environment.  The EA’s focus is to skillfully manage a broad array of projects and tasks while providing administration support to the leader.  The role requires independence as well as teamwork, a willingness to pitch in and help and a positive customer focus.

 

Essential Functions:

The responsibilities encompass a variety of support areas above and beyond simple general administrative tasks like calendar management and include the project management of quarterly efforts and administrative tracking of various programs.

 

  • Provide executive support for the VP of the SolidFire Group and interact on behalf of the VP with all levels of employees.
  • General administrative responsibilities including calendar management, arranging travel, coordination of agendas and logistics for meetings including staff meetings, strategic planning meetings and any others as needed.
  • Provide general support as needed to the VP which includes catering requests, office supply request, processing signature and approval requests including PO management, ownership of group distribution lists and other support duties as requested.
  • Participate as a member of the corporate admin team.  Provide back up support for other admins, participate in regular admin meetings, assist remote admins with setup of local meetings, travel planning, etc.
  • Work on special projects as necessary, including assisting other teams with timesensitive, business critical activities, which may include reporting, data entry or other cross-functional BU responsilities.
  • Occasional travel when requested and appropriate.
  • Handle issues, projects and information of a confidential nature pertaining to employees, legal matters and the company with integrity and discretion.
  • Coordinate the compilation and preparation of presentation materials for internal and external meetings.
  • Organize special programs, events or meetings by arranging facilities and caterers, issuing information or invitations, coordinating presenters and controlling budgets.
  • Interaction with direct management and the BU staff on assigned projects and regular engagement with leaders and employees in other functions across the compnay as well as with various partners and external vendors.
  • Additional various delegated functions as needed.
  • Keep the VP organized with meeting materials and immediate priorities.
  • Monitor and help manage the VPs email inbox, responding, organizing and escalating priority messages when apprpriate and any required communication/response strategies.
  • Prepare and submit regular expense reports in accordance with our accounting practices on behalf of the VP.
  • Curate and source periodic team events.
     

Who We’re Looking For

  • You have extremely strong Microsoft Office skills including Word, Excel, PowerPoint, SharePoint and Outlook.
  • You have the analytical skills necessary to gather, organize, summarize and concisely report complex information.
  • You have experience and confidence in independent problem resolution and decision making.
  • You have the ability to proactively prioritize across multiple incoming time sensitive tasks, delivering against VP’s expectations and utilizing exceptional time management and strong organizational skills, always staying three steps ahead of the VP, constantly anticipating problems and fixing them before they occur then fixing them again when everything changes.
  • You can identify, acquire and manage resources as needed inside a growing company.
  • You have a keen attention to detail when composing and proofing materials, establishing priorities and meeting deadlines.
  • You can easily interact with employees of all levels within and outside of the company as well as customers, vendors and visitors.
  • You have significant knowledge of basic secretarial and office administrative procedures and use and operation of standard office equipment.
  • You have the ability to motivate, coach and guide other team members.
  • You are highly functioning in the absence of instruction on routine work.
  • You demonstrate courage and optimism. You use excellent communication skills to gain the context necessary to perform tasks, and you adopt a cando attitude. You are unfazed and adaptable in the face of change.
  • You take pride in accuracy and professionalism. You show great attention to detail, thoroughness, and followthrough; you believe that when work is done well, the magic is in the details.

  • You are willing to work flexible hours, including some evenings and weekends, and you understand that this comes with working with an entrepreneurial VP who is often working from international time zones. You will approach this job with an oncall 24/7 mentality.
  • You don’t hesitate to ask for help when it is needed and before it is too late.
