Job Description

We are seeking an experienced Executive Assistant to support our Chief Executive Officer and Chief Operating Officer. This individual should demonstrate articulate written and verbal communication and the ability to organize and manage multiple priorities. This key contributor will go above and beyond to extend the highest level of service possible. The Executive Assistant enhances this leader’s effectiveness by providing information management support and representing the Executives to others. This professional should have a high degree of business sense and a proven ability to persuade people on behalf of the Executive they support and represent. The Executive Assistant is a forward thinker and highly proactive in order to stay a step ahead and anticipate the needs and requirements before asked.

Responsibilities:

  • Manages the executives’ time and calendar(s). Independently schedules appointments and meetings
  • Manages and delegates correspondence and invitations on a weekly basis
  • Arranges complex and detailed travel plans and itineraries
  • Ensures the executives are prepared with necessary materials for all meetings
  • Answers incoming calls and correspondence and responds independently when possible
  • Arranges events/conferences with staff and vendors including venue selection, catering, invitations, and budgets
  • Creates and maintains reporting relative to project milestones
  • Maintains files for the SVP and other executives within the department
  • Exhibits strict confidentiality with all information relating to travel, expenses, disciplinary actions, compensation, appraisal scores and promotions
  • Serve as office manager which includes ordering and stocking office and kitchen supplies, serve as point of contact for building and facility issues, and be the go-to “problem solver’ for office related tasks.

Qualifications

  • Bachelor's degree from four-year college or university; and/or 2+ years of related experience and/or training
  • Ability to build and maintain relationships with all levels of the organization
  • Confidentiality and professionalism
  • A high level of computer expertise required, including MS Outlook, Excel, PowerPoint
  • Excellent written and oral communication skills
  • Ability to be flexible and innovative in a fast paced, growth-oriented environment
  • Must exhibit service excellence towards all with whom he/she comes into contact
  • Must be able to hold oneself accountable for meeting commitments and deadlines
  • Position requires demonstrated poise, tact and diplomacy
  • Must be able to handle a very busy desk with changing volumes of work
  • Exceptional organizational and prioritizing skills
