We are looking for an Executive Assistant (EA) to provide top-notch administrative support to our Executive team.

What You Will Do

You will be a part of a small, collaborative team at SurveyGizmo and provide top level administrative support to members of the Executive Team. The EA has responsibilities in variety of areas supporting Executives, acting as an interdepartmental liaison and maintaining a high level of professionalism representing SurveyGizmo. The EA also manages multiple projects simultaneously and is the point person within an extremely busy and often fact paced environment.

You will: 

  • Manage Executive calendars, including scheduling and coordination of meetings, ordering meals, planning, communicating pertinent information to attendees, creating agendas, support materials, and note taking, etc.
  • Manage complex travel for executives and corporate guests, which may include air travel, ground travel, hotel arrangements, itineraries and appropriate communications
  • Respond to calls/e-mails with a high level of service, tact, and diplomacy in assisting and being the gatekeeper for Executives
  • Greet clients and visitors, handle inquiries, communicate with vendors and build and maintain business relationships

In addition, you will:

  • Work closely with various departments at SurveyGizmo to reconcile expense reports and perform other administrative tasks as needed
  • Assist in planning company-wide events, parties, board meetings, etc.
  • Assist in other projects as needed 

Qualifications:

  • Proven ability to use discretion and good judgement and maintain a high level of confidentiality and tact 
  • Minimum 5 years of experience as an Executive Assistant to C-level/CEO, high level office support or other relevant experience
  • Advanced proficiency in the entire MS Office suite (Word, PowerPoint, Excel, Outlook, etc.)
  • Excellent interpersonal and organization skills and the ability to work successfully with all levels within our organization 
  • Ability to organize workload by priorities
  • Must be able to meet deadlines in a fast-paced quickly changing environment
  • Must have a proactive approach to problem-solving with strong decision-making skills
  • Professional level verbal and written, presentation, and communications skills
  • Highly motivated, self-directed, dependable, flexible and punctual, with the ability to work well both independently and as a proactive team member

This position is located in Boulder, CO, and requires being onsite Monday-Friday.
