Executive Assistant to CEO
Based in Denver, Colorado, Inboxlab is an incubator that builds companies revolving around email. Founded in 2017 by serial entrepreneur and angel investor, Nicholas Pardon, Inboxlab seeks to create value in new and existing companies by leveraging our core competencies around data, marketing, branding, and most importantly, the inbox.
Inboxlab presently focuses in two primary verticals: travel and gaming. Our mission-based flagship travel brand, The Discoverer, reaches 1,400,000+ subscribers with its weekly editions and the Inbox Games network currently serves 3,500,000+ game plays per month.
ABOUT THE ROLE
Inboxlab’s Executive Assistant serves as the primary point of contact for internal and external constituencies on all matters pertaining to the executive. The EA organizes and coordinates executive outreach and external relations efforts and oversees special projects. The Executive Assistant must be creative and enjoy working within a small, entrepreneurial environment that is mission-driven, results-driven and community oriented. The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The Executive Assistant will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.
WHAT YOU’LL BE DOING
Coordinate daily calendar; ensures calendar is respected; inform of upcoming commitments/responsibilities
Acts as a catalyst for smooth communication to foster execution and follow-through
Acts on behalf of CEO with CEO’s authority in limited circumstances
Filter, compose and send confidential correspondence
Plan appointments and events
Act as the point of contact between employees, clients, vendors & others
Create regular reports and update internal databases including light bookkeeping
Make detailed travel arrangements and prepare trip-related documents
Manage phone calls and emails
Respond promptly to queries
Facilitate internal communication (e.g. distribute information & schedule presentations)
Suggest more efficient ways to run the office and troubleshoot malfunctions
Review and recommend changes to policies
Gathers information/ “takes the temperature” of the internal/external environments; keeps CEO apprised
Leads special projects for the CEO to successful completion, often with tight deadlines
Completes tasks on-time with high level of professionalism and execution
Aware of relevant corporate and regulatory compliance for company and company holdings.
Documents meetings, assignments, deadlines and other key deliverables for execution
Exceptional organizational skills that lead to success while balancing multiple tasks
Strong written and oral communication skills
Proactive problem solver
Can operate effectively both independently and as a team player
Proficient in MS Office, Google Drive, and online social media platforms
Acts as a gatekeeper for direct access to CEO; prioritizes incoming communication & requests – including conflicting priorities.
Analyze complex data and draw base conclusions as to its meaning, suggest next steps but also know when deeper analysis is required from subject matter experts

WHAT YOU’LL NEED TO BRING
10 – 15 years of Executive Assistant experience
5+ years of C-level Executive Assistant experience
Bachelor’s Degree or equivalent experience in marketing / advertising industry
Exemplary verbal and written communication skills
Proven experience in planning and coordinating schedules as well as assisting in the onboarding of new team members
Excellent presentation skills
Strong attention to detail
Exposure to Internet advertising industry a strong plus
An entrepreneurial mindset and ability to thrive in an atmosphere of rapid development
