People Experiences Team:

The People Experience Team supports the employees of Zoom Video Communications, Inc. We move quickly and are perpetually introducing new ideas. This role requires the incumbent not only to be able to think analytically and strategically, but, just as important, to execute on processes and programs globally. The Global Mobility (GM) & Immigration function supports Zoom’s globally mobile population, from strategy, policy, process, operating model and infrastructure as well as ensuring a cross border compliance framework, including the delivery of immigration services globally for employees requiring sponsorship. Globally mobile population includes International Secondments, International Transfers, International New Hires, Short Term Business Visitors, US Domestic State Transfers, Commuters. Zoom’s globally mobile population includes International Secondments, International Transfers, International New Hires, Short Term Business Visitors, US Domestic State Transfers, Commuters.

The Role:

In your role as a Sr. Global Mobility Manager, you will be responsible for the ongoing management and refinement of Zoom’s domestic and international mobility program, including ongoing policy development, implementation, and interpretation. Reporting to the Head of People Technology and Services, this position will be responsible for providing key support to the company’s global mobile workforce consisting of a global relocation footprint covering 20 countries and growing. The Sr. Global Mobility Manager will act as an advisor to internal leadership, managers, people business partners, and employees regarding all global relocations and will coordinate with all internal People teams on policy issues. The Sr. Global Mobility Manager will ensure compliance with applicable company policies and governmental regulations through effective management of external delivery partners (e.g., relocation, tax, immigration, etc.).

The GM team provides consultative and relationship management support and effective stakeholder management. The role holder will need to be technically competent on immigration services, particularly for the US. Experience in Global Mobility will also be an advantage. The role holder will need to operate with a high level of autonomy, working closely with colleagues in the GM function and the wider HR community, as well as have excellent stakeholder management capabilities.

Immigration Responsibilities

  • Manage immigration cases, particularly for the US and Lawful Permanent Residency applications for the US
  • Manage immigration vendor working with them to execute the immigration cases and to streamline the process
  • Satisfy compliance requirements for immigration and other cross border requirements where required
  • Drive a consultative approach with the internal stakeholders, particularly with HRBPs, HR CoEs and Business Leads.
  • Drive a relationship management approach with the candidate or employee, with the emphasis on a positive and informed experience
  • Look to provide tools and resources to help the delivery of the process and to inform all relevant parties
  • Manage Global Mobility programs, from assignments and transfers where required, providing consultation and execution on in the areas of policy, assignment configuration, assignment planning, assignment terms compliance and operational
  • Assist in delivering an excellent and compliant GM operation for both the assignee, their family, the stakeholders and the Group
  • Drive continuous improvements in process, policy application, vendor services and metrics
  • Assist with building an integrated talent agenda for mobility in Zoom Impact on the Business
  • Through partnering with HR Business Partners, HR Business Advisors and in understanding customer needs and the business environment, assess immigration requirements and deliver immigration services and the consistent application and relationship management of those vendors regionally to ensure consistent quality of service, compliance, metrics and control costs.
  • Assist in the management and delivery of GM related projects as required. Customers / Stakeholders
  • Provide excellent proactive Relationship Management to the employee and assignee cadres
  • Provide excellent consultative guidance to the key stakeholders on regulations and GM processes and associated assignment considerations
  • Provide efficient, timely operations for the core transactional activities
  • Ensure all vendor interaction with the employee aligns with the customer focus of Zoom
  • Ensure full compliance to protect both the employee and the company Leadership & Teamwork
  • Assist in building a communication and development channels for GM, HR and Business Leaders within Zoom by Participating and leading meetings, Continuous Improvements forums with regional business leads, HR Business Partners / Advisors and All HR.
  • Assist in driving a high-quality service, operational efficiency and cross border compliance awareness culture within HR regarding GM activities.
  • Assist in developing the ongoing capability of your colleagues and associated functions to have the required specialized and technical skills, and capabilities required for an excellent GM proposition.

Operational Effectiveness/Compliance & Control

  • Assist in monitoring the escalations of issues on the GM proposition and enable the ongoing identification of operational & regulatory risk, ensuring clear mitigation plans are defined, tracked and implemented, where required
  • Ensure that all vendor relationship management activities and management of the GM vendors are managed with clear monitoring and tracking of KPI, complaints, costs and metrics
  • Leadership over all regulatory and compliance matters and the management of operational risk for Global Mobility & Immigration.

Mobility Responsibilities:

  • Facilitates ongoing analysis to ensure Zoom’s global mobility programs are competitively designed and ensure a positive employee experience with a cost-efficient structure.
  • Refines and administers program policies/guidelines (including relocation, tax, immigration, equalization) to ensure accurate application.
  • Partner with Zoom’s offices worldwide to ensure a consistently exceptional global mobility experience.
  • Increase program efficiencies by acting as a key liaison with external delivery partners (relocation, tax immigration, etc.); participates in the review of contracts/service agreements to increase efficiencies where possible.
  • Generate and review cost estimates, initiate relocations, consult on policies, field questions and coordinate approval.
  • Partner with the business to design relocation packages prioritizing employee experience while maximizing efficiency based on parameters of assignment (ex. short-term, extended business trip, long-term, etc.).
  • Oversee the compensation delivery process for international assignee's, partner with Payroll and Global Stock teams to ensure accurate, timely delivery of pay and hypothetical tax deductions. Forecast assignment renewals and localization's; initiate and coordinate repatriations and localization processes. Ensure compliance with overseas taxing authorities as it pertains to tax payments.
  • Track and coordinate tax equalization results and tax refunds to ensure accurate and timely reconciliation of cost accruals. Update and maintain tax equalization policy, as required.

Qualifications:

  • Bachelor’s degree or equivalent experience. 8 or more years of experience administering expatriate and relocation programs working directly with individuals from varying countries.
  • CPA and/or Global Mobility Certification strongly preferred.
  • Global mobility experience in a Fortune 500 company in high-tech, Big Four. Accounting/Consulting Firm, or top tier Relocation Management Company.
  • Experience with sophisticated Global Mobility programs – rotational, business travelers, extended business trips, commuters, M&A and divestiture activity, interns, etc.
  • Thorough understanding of international assignment compensation and philosophy.
  • Comfort level articulating and dealing with numbers in foreign currencies as well as explaining mathematical calculations around the cost of living allowances, including exchange rate and inflation factors.
  • Knowledge of US tax system; Broad knowledge of international tax, cross-border payroll issues, and the mechanics of tax equalization.
  • Demonstrated success working both strategically and tactically in global mobility.
  • Experience managing external vendor relationships; understanding of elements of relocation policies, home sales, supplier management, relocation expense/payroll consolidation.
  • Superior customer interaction skills; sensitivity to the need to explain unfamiliar concepts around compensation and benefits to employees from different countries/cultures.
  • High level of personal integrity and excellent judgment and decision-making skills - capable of balancing good governance with high quality client service. Committed to confidentiality and appropriate handling of employee and dependent data. Experience with Workday is a plus. 
  • Excellent leadership Skills
  • Proficient in Excel and Word
