Job Summary:

The ideal recruiting coordinator is self-directed, detail-oriented, and driven to contribute to Pushpay’s reputation, growth and success. You will be the face of the company to candidates and this sets the tone for the rest of their careers at Pushpay. The right coordinator cares about their candidates, is attentive to their needs, and is always searching for new ways to make their experience with us the best it can be. You will support the recruiting team with the day-to-day recruiting functions such as scheduling interviews, corresponding with candidates, and facilitating all travel .

Key Responsibilities:

  • Managing multiple tasks and action items (documentation, follow up and preparation) ensuring appropriate and timely action on deliverables
  • Scheduling on-site interviews and coordinating with EAs supporting senior leadership
  • Ensuring an excellent candidate experience through prompt follow up, high quality work and communication with executive candidates throughout the candidates lifecycle from initial contact to start date
  • Ensuring on-site candidates have a positive interview experience by being their main point of contact throughout their day and ensuring the interview schedule flows smoothly
  • Greet onsite candidates, give tour of our office, offer beverage/ water before escorting to conference room 
  • Order lunches or refreshments (interviews longer than 4 hrs)
  • Arrange travel and accommodations for candidates and new hires (if needed)
  • Process candidate expense reports
  • Entering and tracking candidate information in Greenhouse ATS and ensure appropriate parties have access to necessary information
  • Impeccable attention to detail in a fast paced, ever changing work environment while driving the interview process from start to finish
  • Maintain the Applicant Tracking System (ATS) to ensure candidate records are complete and that the recruitment process is accurately tracked
  • Complex calendar management and scheduling of internal and external interviews
  • Partner with additional internal support teams such as Training and Development, Operations, IT and Human Resources to ensure a seamless on-boarding and Day 1 experience for new hires


Education and Experience:

  • 1+ years of successful experience within an administrative/support or project management experience in a similarly fast paced or high volume environment
  • 2+ years of working in customer focused environment
  • Handle confidential information with discretion
  • Must take initiative and demonstrate excellent judgment when making decisions and solving problem
  • Flexible and adaptable to ever changing circumstances with scheduling conflicts and providing solutions
  • Strong interpersonal, verbal and written communication skills
  • A proven track record of leading and driving multiple complex projects
  • Exceptional time management; proactive with a strong sense of urgency
  • Adaptability and positive attitude in a fast-paced, highly collaborative, quickly changing environment
  • Experience working with applicant tracking systems (ATS) or other Recruiting tools, preferably Greenhouse and Interviewer schedule
  • PC skills, including strong working knowledge of Mac and all Google Suite applications
  • Demonstrated ability to anticipate bottlenecks, manage escalations, and make tradeoffs

Salary and Benefits:

    • FTE: Salary range: $45/K - $52/K (DOE)
