The 401(k) Manager is responsible for planning, organizing, coordinating and managing the service delivery of the 401(k) programs, ensuring full compliance, efficient administration and a positive colleague experience. This person will be the subject matter expert for the 401(k) programs, policies and processes but also an integral part of a broader US benefits team.

 

Duties and Responsibilities

  • Drives towards a clear, positive employee experience that includes an efficient support model for swift resolution of employee inquiries, timely communication campaigns, activities/events that contribute to education goals
  • Reviews communications, updates internal intranet site, ensures documents are posted and mailed as required
  • Serves as the subject matter expert and advise on 401(k) programs and policies
  • Owns and manages the vendor relationships including contracts, monitor SLAs, project management, data privacy
  • Ensures excellence in operational and administrative procedure of the 401(k) plans, in alignment with plan documents and compliance with applicable legal and regulatory requirements. This includes enrolments, payments distributions, reconciling company match calculations, audits, filings etc.
  • Ensures compliance with ERISA, IRS, DOL and other government regulations. Responsible for timely government reporting, audits and non-discrimination testing
  • Documents all procedures associated with 401(k) programs and ensures processes are clear, well-coordinated and efficiently aligned between payroll, HR Services and other teams
  • Identify and recommend methods to update, simplify and enhance processes, procedures and technologies. Lead and/or participate in continuous improvement initiatives to ensure services are effectively delivered
  • Manages and supports in country acquisition and divestiture transition in or out of plans including communications

 

Education and Experience

  • Bachelor’s degree and 5+ years relevant experience with US 401(k) plans
  • Experience with vendor management and process optimization
  • Strong project management, communication, analytical and problem-solving skills
  • Highly proficient in MS Office (PowerPoint, Excel, Word Teams)
  • Experience with Workday is desirable
  • Up to date knowledge of current Total Rewards and 401(k) regulations and market practice

  • Resourceful – knowing how to access and research multiple sources of information and data is important
  • Organized – since we are in an open-source model, this individual will need to utilize tools and methodology to understand multiple workstreams and various priorities
  • Ability to execute – this individual will need to have a bias to action which is underpinned by research and analytics
  • Analytical – this individual should be comfortable with data, data analytic tools and using data to make observations and conclusions
  • Excellent interpersonal and communication skills with ability to explain highly technical programs to employees with clarity, tact and diplomacy
  • Must be able to work autonomously, with little supervisory direction
  • Must also work well in a team and contribute to an open-source, collaboration model
