Overview of the position:
You’ll love this role if you get your thrills planning and executing large-scale, hosted corporate events and keep your cool when the stakes are high. The Global and Regional SAFe Summits bring together Scaled Agile’s dynamic user community both in the United States and around the world. Your organizational superpowers and amazing attention to detail keep Scaled Agile’s users wowed and coming back to these events, year after year.
What you’ll be doing:
- Work with the Senior Events Manager and our event provider to coordinate logistics around the Global SAFe Summit, Regional SAFe Summits, and other hosted events
- Coordinate between the event provider and internal stakeholders to ensure deadlines are met and deliverables are sent
- Help manage day-to-day activities including invoice management, budget updates, speaker logistics, and promotional item ordering
- Create communications relating to the event, including to internal stakeholders, external prospects, and registrants
- Assist with creation and maintenance of event websites
- Serve as an escalation point for registration issues
- Develop KPIs reporting; create and update event dashboards
- Manage exhibitor sign up, booth management, and on-site logistics around exhibits
- Gather and process feedback around events
- Develop on-site staffing schedules and coordinate pre-conference staffing activities.
- Travel to and support onsite execution and management of key events, including show set-up and take-down as needed
Skills and experience that are important for the role:
- 5 - 8 years event management experience
- Ability to interface with multiple stakeholders within the organization, respond to diverse needs
- Manage a large number responsibilities
- Ability to perform under pressure; ability to recover when things don’t go as planned
- Proficiency with Google Docs and Microsoft Office Suite
- Strong communication and interpersonal skills
- Strong organizational and planning skills
- Bachelor's Degree required
Nice to have
- Experience with HTML, CSS and WordPress
- Experience with SalesForce.com
- Experience with Cvent
- Some experience with Adobe Creative Cloud desired, but not required
- Familiarity with Agile practices - SAFe knowledge a plus
