Job Position: Payroll Administrator
Position Location: Louisville, CO

We are currently recruiting for a Payroll Administrator who is a team player, willing to be hands-on, able to manage a wide variety of tasks on a daily basis, and able to consistently meet month-end close deadlines. Position Summary:

Under general supervision and acting on own initiative, perform standard activities associated with payroll, expense reports review/approval and other miscellaneous payroll related projects as they arise for Rogue Wave Software worldwide. In connection with performing these duties, work with foreign third-party accountants and foreign subsidiaries as needed regarding payroll and expense report review and approval.

Position Responsibilities:

  • Enter and maintain all payroll data in ADP/Ultimate Software for all US entities, including setting up states for W/H and SUI filing account numbers as needed
  • Assist as needed in implementation of Ultimate Software HRIS/Payroll system worldwide
  • Maintain and provide to third party accountants payroll spreadsheets for foreign entities 
  • Enter any payroll changes, such as pay changes, addresses, new hires and terminations into ADP/Ultimate Software, calculate manual payroll and taxes for terminated employees and research any payroll tax questions as they arise
  • Review ADP/Ultimate Software reports to ensure they are accurate and submit the payroll for processing online
  • Review and approve expense reports for all employees worldwide
  • Upload commissions and expense report details into ADP/Ultimate Software for processing on payroll and coordinate wire payment instructions for Accounts Payable for payment
  • Submit expense payments for foreign employees and contractors who are not on US or Canada payroll or provide amounts to third party accountants to pay
  • Review foreign payroll files for accuracy and set up wire/ACH payments or communicate amounts to be paid as applicable
  • Code payroll and expense reports and upload journal entries into Great Plains
  • Support HR by assisting with any payroll issues and any state or country filing requirements
  • Work closely with HR, accounting team and foreign third-party accountants
  • Facilitate standard employee inquiries concerning payroll or expense report questions via email or telephone in a timely fashion
  • Maintain good working relationship with ADP/Ultimate Software and contact them for any issues
  • Perform certain month-end close duties related to payroll and expense reports such as reconciliations
  • Perform certain year-end duties related to payroll such as reviewing and distributing W-2s, T4s, and 1099s, assistance with annual financial and 401k audit requests
  • Work with ADP/Ultimate Software and HR to add any new employees, entities or departments from acquisitions
  • Assist with Ultimate Software implementation
  • Special projects or other duties as assigned or requested

Business and Technical Competencies:

  • Excellent written and oral communication skills are a must
  • Strong organizational skills, great attention to detail, ability to coordinate multiple tasks, and a strong team-player attitude is necessary
  • Technical proficiency in Microsoft Office Suite including Word, Excel, PowerPoint, and Outlook
  • Proficiency in ADP/Ultimate Software and Concur expense is preferred
  • Experience with Microsoft Dynamics GP (Great Plains) or other accounting software preferred.

 

Experience and Education:

Requires a high school diploma or equivalent. A minimum of 3-5 years’ work experience with 1 year in a related position or field. Preferably some experience with a software or hi-tech company. Experience in Ultimate Software a plus.
