As the  Senior Executive Assistant, you will provide mission critical support for the President and the CEO of Inboxlab. You will act as the primary point of contact for internal and external constituencies on all matters pertaining to the executive office. You are a creative individual and enjoy working within an entrepreneurial environment that is mission-driven, proud of results and community oriented. 
The ideal candidate will have the ability to exercise superb judgment in all situations, while always acting in the best interest of Inboxlab and the team. You will have exceptional written and verbal communication skills with the ability to influence and lead key initiatives across the entire organization. As an administrative guru you will excel in organization and take handle of chaotic situations, maintaining balance and poise while juggling multiple priorities. You will be trusted to work independently on projects, managing them from conception to completion. Working under pressure at times, you will be able to handle a wide variety of activities and confidential matters with the highest discretion.


  • Serve as the point of contact for the office of the President and the CEO, acting in the best interest of the team when coordinating internal and external partners
  • Manage all incoming communications both written and verbal, liaising between executive team and outside parties; reviewing meeting requests, inquiries, interviews, meetings, etc.
  • Coordinate daily calendars; providing timely updates and time saving suggestions to executive team
  • Assists with meeting planning and set up; schedule conference rooms, order catering, secure technology and other resources as required
  • Develop and maintain good working relationships throughout the organization by exhibiting outstanding customer service skills with all internal and external customers
  • Facilitate internal communication (e.g. distribute information & schedule presentations)
  • Filter, compose and send confidential correspondence
  • Create regular reports and update internal databases including light bookkeeping and ad-hoc reporting as requested
  • Make detailed travel arrangements and prepare trip related documents with the highest level of care
  • Handle incoming/outgoing mail, email, faxes, copies, etc.
  • Answers routine questions and furnish information as appropriate
  • Manage access to highly confidential information and files
  • Suggest more efficient ways to run the office and troubleshoot malfunctions
  • Review and recommend changes to policiesLeads special projects for the President and the CEO to successful completion, often with tight deadlines
  • Complete tasks on-time with high level of professionalism and execution
  • Performs these and other departmental duties as assigned


  • 10+ years of Executive Assistant experience
  • 5+ years of C-level Executive support
  • Bachelor’s Degree or equivalent experience in marketing / advertising industry
  • Ability to work independently with minimal supervision; strong initiative
  • Exemplary verbal and written communication skills
  • Proven experience in planning and coordinating schedules
  • Excellent presentation skills
  • Superb knowledge of MS Office, Google Drive, PowerPoint and online social media platforms
  • Ability to take ownership of projects and see them through completion
  • Gain expert level understanding of the Inboxlab brand, executing initiatives with voice and vision of brand in mind
  • Exceptional attention to detail
  • Exposure to Internet advertising industry a strong plus
  • An entrepreneurial mindset and ability to thrive in an atmosphere of rapid development
  • Demonstrated ability to maintain strict confidentiality
