As a member of our small, growing marketing team this is a great opportunity to work with the Senior Trade Show Manager to support the successful execution of Scaled Agile’s participation in tradeshows, meetings and conferences. This person will also have a role supporting the successful marketing and execution of Scaled Agile produced events, such as the annual SAFe Summit. You will get to hone your event marketing chops by coordinating the logistics and deliverables for a wide variety of events in the USA and around the world. Your love of organization and event experience will enable our department to continuously improve the way we execute on events.
Overview of the position
The Trade Show Manager will work with our Senior Trade Show Manager to support Scaled Agile’s presence at events, (including trade shows, meet ups, and other hosted events). Responsibilities include a wide range of activities from booking meeting space, creating registration badges, ordering booth giveaways, packing and sending exhibition material and helping to maintain event websites.
The ideal candidate will have prior event experience, strong organizational skills and a passion for ensuring events come off without a hitch.
What you’ll be doing:
- Coordinate logistics and deliverables for trade shows. Logistics can include: booking booth and meeting space, managing housing, maintaining speaker and VIP schedules, packing and sending exhibition material to and from the office
- Work with vendors (e.g. conference producers, freight forwarders, printers, etc), to ensure timely, cost-effective execution of sponsorships.
- Manage sponsorship schedule including working with internal partners on upcoming sponsorship activity, fulfilling logistical requests and updating marketing reports.
- Assist in creation and publication of pre-show and post-show communications.
- Develop on-site staffing schedules and coordinate pre-conference staffing activities.
- Travel to and support onsite execution and management of key events, including show set-up and take-down as needed.
- Track expenses and assist in financial reconciliation as needed
- Ensure processing of show leads in CRM system and distribution to sales team.
- Maintain show schedules, project checklist and processes through exhibit management templates & tools
- Maintain files and documentation thoroughly and accurately in accordance with company and departmental policies.
Skills and experience that are important for the role:
- 5 years experience in corporate trade show management
- Proficiency with Google Docs and Microsoft Office Suite
- Strong communication and interpersonal skills
- Ability to interact with diverse and high volume customer base in a friendly and efficient manner.
- Strong organizational and planning skills
- Detail-oriented with excellent follow-up and time management skills
- Adept at handling multiple projects simultaneously under pressure to meet deadlines
- Ability to work independently as well as part of a team with a proven ability to collaborate with cross-functional teams
- Knowledge of CVENT or other event registration systems desired
- Knowledge of email marketing and sales tools desired (Pardot, SFDC, etc.) along with basic knowledge of HTML/CSS; familiarity with updating WordPress a plus
- Knowledge of Asana preferred
- Associates Degree required
