Overview:

Galvanize is seeking a motivated individual to help us deliver our industry-leading immersive education programs by supporting our finance/accounting, enrollment and compliance teams as a student account specialist.  We are looking for a creative problem solver who can assist our core business teams and continue to streamline our administrative processes. You will be responsible for ensuring the completeness and accuracy of all student records, managing the student separations, transfer and enrollment processes. The ideal candidate has a strong commitment to student satisfaction and customer service, as well as excellent interpersonal and communication skills. You should feel comfortable working in a high-paced, collaborative environment under overlapping deadlines with competing priorities. 

Job Duties:

  • Manages the day-to-day operational billing, refunding, and collection activity related to student accounts.  Posts payments, process refunds, and manages disbursements in accordance with state and federal regulations and Galvanize’s policies and procedures.
  • Conducts periodic audits of student funding packages/allocations.  Identifies compliance opportunities, and proactively remediates any concerns.   
  • Serves as the subject-matter-expert on student accounts including self-funding payments, Military benefits such as post-9/11 GI Bill / Veterans benefits, state funding providers, and third-party lenders.  Supports inter-departmental administration of third-party financial partnership systems including lender and Veteran’s funding portals.  Serves as a member of the VA Benefits team, and assists in administering VA benefits when appropriate.  
  • Advises students on payment, collection, and withdrawal/separation policies and procedures.  Manages student account base with a focus on student service, preventing account delinquency or default, accuracy, and integrity.
  • Ensures compliance with federal and state guidelines and regulations as they relate to student accounts, stays current with changes, and educates stakeholders on changes.
  • Develop and implement systems and processes to ensure the accuracy of student account records within Salesforce. Develops internal documentation and training for key stakeholders who assist in the creation and maintenance of records. 
  • Administration of student contract processing systems for enrollments and student movements.
  • Utilizes collaborative technology platforms like Asana and Salesforce, and other internal and external tools and applications to manage and process all student movement tickets such as Withdrawal, Transfer, and Deferral. 
  • Proactively improves the student account process by seeking input from stakeholders to positively impact the student experience, and ensure a quality student account function. 
  • Student Support Tasks:
    • Respond to student inquiries related to the Bursar
    • Build and maintain templates for consistency in responses
    • Provide support to student-facing teams around the organization
    • Other assignments as assigned to support regulatory/legal operations.
    • Ensures confidentiality of information in accordance with FERPA guidelines.
    • Designated employee responsible for 1098T filings, and satisfying all reporting requirements.  

 

 Experience Needed:

  •  Salesforce experience strongly preferred, other CRM experience considered
  • 2+ years in customer service roles
  • 2-4 years of experience in student accounting or bursar roles
  • Experience with private loans and military funding
  • Auditing experience
  • Nearly perfect attention to detail and error-free work standard
  • Strong excel skills
  • Strong sense of empathy when talking to students about sensitive matters
  • Strong financial understanding
  • Excellent oral and written communication skills
  • Experience working in a fast-paced environment with high-volume workload
  • Experience handling  confidential information
  • Bachelors Degree Preferred
