Senior Event Coordinator

Event Execution 

  • Work directly with Senior Event Manager and Campus Event Manager to schedule events and conference room bookings.
  • Receive hand-off of all event logistic information and needs and oversee onsite execution of events on campus.
  • Coordinate event logistics during event, such as room set-up and breakdown including all needs for seating, staging, A/V, Food/Beverage, etc.
  • Coordinate Event Coordinator (EC) staff during event execution by being on-site team lead.
  • Assist with the production of internal events that benefit the Galvanize community members, students, and partners
  • Coordinate logistics as it pertains to events in support of Galvanize EDU, such as capstone presentations, learn to code sessions, information sessions, etc. 
  • Direct ECs by proactively providing post event feedback and improvement areas to Campus Event Manager and Senior Event Manager. 
  • Other duties as assigned.

Onsite POC 

  • Be the main point of contact for the event organizer, welcoming them at arrival and checking in consistently on their needs.
  • Responsible for successful receiving of event rentals and deliveries. 
  • Communicate consistently with ECs pre-event with check-ins, during-event, and post-event with cleanup and check-out.
  • Manage relationships with appropriate event vendors (cleaning, furniture moving, A/V, F&B, etc.).
  • When needed, confidently speak to the overarching mission of Galvanize, our core offerings, and direct guests to the appropriate Galvanizer to learn more about our programs.
  • Other duties as assigned. 

.Guest Experience 

  • Oversee guest check-in process, ensuring ECs efficiently and warmly welcome guests and check them in on the ipad system.
  • When needed, confidently speak to the overarching mission of Galvanize, our core offerings, and direct guests to the appropriate Galvanize staffer to learn more about our programs.
  • Communicate any recurring issues with event execution and guest experience to Campus or Senior Event Manager.
  • Other duties as assigned. 

Administrative 

  • Schedule new and recurring events in event management software
  • Maintain guest count records. 
  • Assist with marketing material creation as it pertains to on-campus events including internal community member functions, internal community and education curated events, and external lead-driving events.
  • Assist in various projects including, but not limited to, event asset tracking and lead response.
  • Other duties as assigned.
