As the Officer Manager, you will have the opportunity to uphold these standards while contributing to a fun and energetic company culture. You’ll serve as the face of the company to employees and visitors and is responsible for maintaining office organization and efficiencies. As the first person with whom clients, prospects, and office guests will meet, one of their primary responsibilities is to ensure guests feel welcomed and comfortable.

What you’ll do...

Reception

• Manage office visitors by welcoming and directing guests

• Answer incoming phone calls and route to appropriate parties

• Manage mail, incoming and outgoing shipments

Office Management

• Ensure the office remains tidy, professional and organized in appearance (includes facilitating the cleanliness of the kitchen/break areas, open/shared spaces, conference rooms)

• Act as the first point of contact for internal team members, external vendors and property management as it relates to building maintenance issues, office mail, supplies, and equipment

• Procure, track, and stock office supplies including: printer, kitchen, conference room, and general office supplies

• Manage inter-office communication and welcome slides on digital signage, ensuring content is accurate and professional

• Provide administrative support to Operations Leadership

• Configure office space for newly hired employees

• Develop and maintain a documented system of general office management policies and procedures

• Manage office access and security by issuing and retrieving suite keys and access cards. Lockdown office if necessary

• Act as the sole liaison for Engrain’s property management company (including serving as the company fire warden and active shooter delegate)

Event Management

• Manage event budgets, catering, logistical needs (including setup and breakdown)

• Work with internal team members to manage client events and meetings

What you offer us...

• 1-3 years of relevant experience

• Ability to build and facilitate effective working relationships across all levels of an organization and customize communication skills and individual style to deliver results
