General Purpose

To administer overall operation and functionality of the Denver office and to provide general administrative assistance. Work with HR to help promote positive employee engagement

Essential Duties/Responsibilities

  • Represent the company with a strong professional image, greeting and directing all visitors appropriately
  • Maintain a clean, organized and effective office environment: supervise maintenance and repair of all office and facilities equipment; maintain inventory of all break room and office supplies; maintain seating chart, user inventory, directories and office resource manuals
  • Act as main point of contact and manage working relationships with building and property management, building superintendent, and facilities vendors and contractors
  • Prepare and manage the office budget in collaboration with FP&A, ensure spending remain within allocated budget and all queries related to the budget are dealt with in a timely manner; Manage all office related purchasing with appropriate approvals
  • Manage facilities accounts, contracts and invoices
  • Administer and communicate office emergency action plans in conjunction with HR
  • Steer local DH&I Social, Wellness & Giving Committees with HR to encourage engagement for positive office culture. Help plan and organize company events
  • Assist with local office design, construction, move management, property relocation and disposition, taking the lead at times
  • Manage internal seat moves with HR and EUS teams
  • Assist with organizing company meetings/events as well as any catering when needed
  • Ensure all office management and relevant company documents are up to date and filing of hard/soft copy documents
  • Manage incoming and outgoing mail for the office, as well as courier and taxi bookings

  • Adept in Microsoft Office Suite and standard desktop applications
  • Proficient with standard office equipment (photocopiers, printers, fax machines)
  • High School diploma plus 4 year degree in appropriate field (I.e. Communications, Business) or other professional certification
  • 5 years administrative and/or office management experience
