Office Manager
Job Summary
The Office Manager provides a wide variety of professional and office administrative support to team members to ensure the efficient and effective functioning of the business unit office. The Office Manager possesses a strong skill set and office management experience, enabling them to “hit the ground running” with minimal training. This person has a strong ability to work independently and make decisions.
Responsibilities
General Office Administration: Provides routine administrative support to ensure that business unit operations are maintained in an effective, up-to-date, and accurate manner
- Responds to routine inquiries
- Receives daily mail and deliveries; opens and sorts and distributes department mail, reports, faxes, other materials
- Maintains records for expense reports and other documents; coordinates whole office communications
- Maintains office files and orders office supplies; coordinates repairs to office equipment
- Coordinates conference room schedules and set-up
- Maintains temporary badges for guests, vendors and employees
- Ensures all guests and vendors are greeted, recorded into visitor’s log, and have signed a non-disclosure agreement
- Liaison between the office and Ames facilities team
Food and Beverage Management: Oversees and ensures that food and beverage options are available to employees in a clean and friendly environment throughout the workday
- Purchases or coordinates with vendors for delivery and service of variety of food and beverage items, including fresh fruit, produce, and snack items
- Ensures that the food and beverage area remains well-stocked throughout the work day
- Ensures that the kitchen and employee break area is clean and meets appropriate health requirements
- Helps plan and coordinate catered company events and meetings
Facilities Planning and Maintenance: Provides support to management and employees to provide resources needed to allow efficient operation of their department
- Assists with the development of presentations, special projects, and other duties as requested
- Assists with new hire orientation setup, onboarding, and training coordination
- Plans and executes team and facility moves
- Manages coordination of daily facility operations; coordinates building maintenance and repairs
- Manages vendor relationships and contracts
- Custodial supervision: ensure all of the office is kept clean
Ensures Physical Company Security: Responsible for ensuring that physical company security protocols are being met at all times
- Work in tandem with IT to ensure security and IT needs are met
Special Projects: May assist on special projects as assigned; may perform any or all of the following responsibilities:
- Coordinate project schedules
- Create project-related reports
- Monitor progress/tracks timeline
- Assist with long-term planning
- Generate progress reports
What You'll Need
Skills
- Proven planning, organization, and time management skills to establish priorities and maintain productivity despite numerous interruptions
- Excellent interpersonal communication skills (written, verbal, and listening) with demonstrated ability to interact well throughout the organization
- Problem analysis and problem solving skills with strong attention to detail and accuracy
- Ability to work successfully in a high-energy, fast paced, rapidly changing environment and manage multiple time-critical projects to meet deadlines
- Strong technology computer skills
- Customer service oriented skills to properly handle and direct inquiries to appropriate stakeholders
- Proven ability to maintain confidentiality
Experience
- 2 years of administrative support experience in a business setting required
- Experience using standard office equipment (scanners, photocopies, fax machines) and software packages, including cloud-based software applications, spreadsheet, and word processing programs to perform essential tasks in an efficient and effective manner required
- Experience creating and organizing special projects preferred
Education
- High school diploma required; associates or bachelor’s degree preferred
Travel Requirement
- Minimal travel requirements, less than 20%
Working Conditions & Physical Requirements
- This job requires in-person work at a Workiva office site. Workiva has mandated that all employees who perform their jobs onsite be vaccinated against COVID-19. We are required to consider requests for exemptions based on a medical condition or sincerely held religious belief.
- Reliable internet access for any period of time working remotely, not in a Workiva office.
How You'll Be Rewarded
Base Pay Range in Colorado: $23.00-32.00/hr
Discretionary bonus typically paid annually
Restricted Stock Units granted at time of hire
The base pay range represents the low and high end of the hiring range for this job. Actual pay will vary and may be above or below the range based on various factors including but not limited to relevant skills, experience, and capabilities.
