Office Assistant

| Greater Denver Area
Downtown Denver-based luxury vacation company seeks a dynamic service-oriented professional who is highly-organized and has experience catering to affluent clientele from around the world. We are looking for an efficient, self-motivated, hardworking, and fast-paced individual that has excellent computer skills, can multitask and takes direction well. This job includes a verity of administrative, clerical and managerial tasks.
 
Responsibilities:
  • Serve as the central hub of a 500+ person team to help us uphold an amazing work environment
  • Executive support; scheduling meetings and appointments, expense reports, and travel arrangements
  • Ensure office is stocked with necessary supplies and food/snacks/beverages
  • Ensure office operations and processes run efficiently (including audio/visual/internet needs, printing, company-wide meetings, and more)
  • Source and negotiate with vendors and service providers
  • Handle mail/package receiving and shipping
  • Management of facility vendors and contracts (janitorial, property management, beverages, snack service) 
  • Manage the team inbox and make sure all incoming requests have been taken care of
  • General Office Assistant duties including greeting and assisting clients/guests/employees in person and on the telephone, making everyone feel like they are part of the team
  • Manage the company’s badge access for new hires and current employees
  • Manage all the communal areas (reception, kitchen, and conference rooms), ensuring the physical appearance of the office is always presentable, organized and guest-ready
  • Work alongside the Facilities Team to ensure the building is in tack and supplies are ordered
  • Oversee administrative inventory, purchasing of office supplies, and maintain office budget
  • Support Talent Development Team by assisting with training scheduling and coordination of events.
  • Support Training Team by organizing content in our internal database.
  • Support Talent Development Team by orchestrating call tracks for phone evaluations.
About You:
  • Previous office administration experience required - at least 1 year in a fast-paced growing business
  • Attention to detail – you love to double check your work
  • Your personal brand - 5 Star customer service, both internally and externally
  • Communication skills – so good you could teach a class on communication
  • Can do attitude – nothing will slow you down
