Job Description

**This is a temporary position slated to last approximately 4 months.**

The Office Assistant will manage the office space and provide administrative assistance to senior level professional staff. This role is responsible for ensuring an exceptional office space that provides a welcoming and hospitable environment for visitors and team members. The Office Assistant ensures the office environment efficiently operates by maintaining adequate supplies and resources. The Office Assistant effectively builds rapport with team members, visitors, and vendors.

What you will do:

  • Actively and enthusiastically foster and contribute to Zen Planner’s unique culture. As the front-line person, the Office Assistant will provide exceptional customer service to vendors, visitors, and team members.
  • Coordinate travel arrangements for senior level professional staff
  • Provide administrative support for senior level staff by creating/editing presentations and scheduling communication meetings
  • Ensure the office space is ready for daily business by guaranteeing adequate office supplies:
    o Office Snacks
    o Coffee Station
    o Office supplies
  • Make office space presentable and ready for daily use. Including but not limited to:
    o Organizing and Cleaning public work spaces as necessary
    o Completing all tasks on monthly and daily checklist.
  • Complete monthly expense reports and help with other ad hoc administrative duties
  • Provide Team Member Assistance with printing requests, mailing and deliveries, and other miscellaneous requests.
