Essential Duties and Responsibilities:

  • Act as first line of communication to callers, visitors and vendors
  • Represent the Maxar brand by being professional, inviting, and service minded
  • Answer phones, direct calls, and take messages
  • Back up phone coverage for Executive Assistants
  • Maintain the front desk and so that it is stocked, organized, clean and prepared for use
  • Partner with Facilities to ensure the supply closet is stocked for office needs
  • Work with the building front desk to coordinate and escort visitors in the building according to security policy
  • Welcome guests, advise host, and direct guest accordingly
  • Support Executives and Executive Assistants with tasks and administrative duties as directed, includes printed document preparation, mailing preparation, filing, and conference room set up, travel arrangements, conference calls, meeting room reservations
  • Order and set up catering for meetings and company events as directed
  • Assist with facilities and operational needs relating to the offices
  • Help coordinate company and office-wide meetings and events
  • Work with administrative staff to ensure efficient flow of day-to-day operations
  • Other duties and projects as assigned

 

 

Basic Required Skills & Abilities:

  • Experience in an administrative capacity
  • Be onsite during normal business hours
  • Citizen or Permanent Resident of the United States
  • Experience with Microsoft Office suite (Word, Excel, Outlook, PowerPoint)

  • Excellent communication skills, both oral and written
  • Accurate, efficient and timely execution of tasks
  • Effective time management and prioritization skills
  • Detail oriented and organized
  • Strong teamwork and relationship management skills; works effectively with all personalities

  • Ability to maintain professional composure in a fast-paced environment
