Executive Assistant
The Executive Assistant to the Chief Executive Officer (CEO) reports directly to the CEO and will provide executive support in a one-on-one working relationship and report. The Executive Assistant serves as the primary point of contact for internal and external constituencies on all matters pertaining to the Office of the CEO. The Executive Assistant also serves as a liaison to the board of directors and senior management team; organizes and coordinates executive outreach and external relations efforts and oversees special projects
This fast paced position will require someone adept at managing multiple work streams simultaneously and is able to anticipate the needs of the CEO and respond independent of direction. As a key position in an entrepreneurial organization, the Executive Assistant position offers opportunities for development and advancement for self-motivated and driven candidates.
The Executive Assistant to the CEO will assume the following responsibilities:
Administrative Support to the Chief Executive Officer
- Coordinates and assists in the preparation of meetings, appointments, conference calls, video conferences, events, and travel for the Chief Executive Officer
- Prepares and reconciles expenses for the CEO
- Drafts and cues up emails and other internal and external communications with CEO’s contacts
- Drafts and produces monthly updates for Board of Directors
- Coordinates and produces bi-monthly staff-wide, internal newsletters
- Performs routine administrative duties as needed
- Manage email
Project Coordination/Special Projects
- Supports growth and expansion projects in conjunction with the Leadership Team and regional teams as needed
- Researches for ongoing projects as needed
- Other responsibilities as needed
Desired Skills and Experience
- Bachelor's degree (B. A.) from four-year College or university; or one to two years related experience and/or training; or equivalent combination of education and experience.
- Outstanding problem-solving skills, with the ability to manage multiple projects and deadlines simultaneously
- Ability to exercise good judgment in a variety of situations
- Strong oral and written communication skills
- Focus on details, excellent organization and people skills
- Ability to anticipate and take initiative to work independently or collaboratively as needed
- Fluency in Microsoft Office applications (Word, Excel, Outlook and PowerPoint)
- Experience with Adobe Design Suite & Salesforce a plus
