Executive Assistant

We’re growing rapidly and need a detailed, organized and resourceful individual to join our team as an Executive Assistant to increase our level or productivity and bandwidth. This is a fast-paced, detail-oriented role that will assist in the efficiency of our Executive Leadership Team. The ideal candidate is an organized self-starter, who is resourceful, collaborative and decisive. Everyday is different at Q Factor, so being able to adapt to change is a must.

What You’ll Do:
- Manage calendars for multiple leaders including prioritizing meetings, adjusting logistics and maintaining clear communications with all parties as changes occur.
- Plan, book and manage a high volume of domestic travel arrangements for multiple leaders, and provide real-time support throughout duration of travel. This role requires light travel.
- Manage all meeting logistics including booking conference rooms, printing of materials, ordering of food, etc. Participate in meetings as needed, tracking and following up on action items.
- Process expense reports for multiple leaders.
- Handle sensitive and confidential information with a high level of discretion.
- Assist with market research and project walks.

- 1-3+ years of proven experience supporting multiple executives and working collaboratively with other members of the company.

- Strong organizational skills with an ability to perform and prioritize multiple tasks seamlessly with attention to detail.
- Must be results-oriented with the ability to change priorities as needed. Must have the ability to work independently and exercise good judgment.
- Proficiency in using ZOOM and the G Suite products: Google Calendar, GMail, GDrive, Doc, Sheets, and Microsoft Excel, and Word.
