Do you want to play a role in global commerce?

 

The Executive Assistant will support the Chief Accounting Officer (CAO) and the Global Accounting department in Denver, CO. The accounting department consists of approximately 100 people in Denver and approximately 200 people globally in numerous offices. In this high-profile role, this person must be able to handle details of a highly confidential and critical nature, interact comfortably and skillfully with individuals within and outside the company. This person will exhibit strong organizational, written communication and verbal communication skills and must be confident in their ability to interact with staff (at all levels) in a fast-paced environment, sometimes under pressure, remaining flexible, proactive, resourceful and efficient, with a high level of professionalism. Attention to detail and the ability to anticipate the needs of the CAO and greater Accounting team, are key. This person will be expected to apply common sense and execute tasks with minimal direction and must demonstrate the ability to accommodate a flexible work schedule, based on the needs of management and the department.

 

Here’s how to do that:

  • Plan, organize and manage calendar for department CAO head; including scheduling meetings, resolving any overlapping commitments and protecting time for priorities
  • Manage the Global Accounting department communication through emails, newsletters, and team page on the Hub, with guidance from global accounting leadership
  • Collect and prepare information used for presentations/meetings for CAO and other members of the accounting leadership team, including presentations for the Audit Committee
  • Coordinate travel arrangements and necessary documentation (such as visas) for CAO and other members of the accounting leadership team in Denver
  • Coordinate department meetings and special events such as department all-hands or offsites
  • Occasionally answer phones, screen incoming calls, and redirect requests for department head
  • Manage and reconcile expense reports for CAO and accounting leadership located in Denver
  • Manage and maintain industry-relevant memberships and subscriptions for department head
  • Support co-workers and their departments with coverage and other requests as needed to insure a smooth and efficient work environment for all executives
  • Other administrative duties, as assigned

  • Bachelor's Degree plus 2 years of executive-level support experience or 3-6 years of executive-level support experience in a mid to large sized organization
  • Advanced proficiency in the entire Microsoft Office Suite - Word, Excel, PowerPoint and Outlook
  • Advanced knowledge of presentation software – PowerPoint, Prezi, or similar
  • Advanced analytical inclination, specifically related to budgets & projects
  • Superior attention to detail and the ability to meet tight deadlines and juggle multiple requests is critical.
  • Integrity and discretion in handling confidential information and professionalism in dealing with different levels of colleagues.
  • Demonstrated excellent communication skills, both written & verbal
  • Must be a team player with excellent multi-tasking skills
  • Ability to be proactive, exercise good judgment, discretion and confidentiality in all tasks
  • Detail-orientated with strong planning, organizational and time-management skills
  • Ability to work well under pressure, multi-task; work overtime (evenings and/or weekends) if necessary
  • Flexibility and the ability to change directions quickly
