Position Summary

 

We are seeking an Executive Administrative Assistant to strategically support the business with a variety of administrative tasks and execution of key projects. Primary partnerships will be with our CEO and his Executive Team. Ideal candidates must be exceedingly well-organized, hardworking, passionate about developing lasting relationships, strive to exceed internal and external client expectations, and have a strong inclination to work in a team-oriented environment. This individual must lead initiatives from conception to completion, often working behind the scenes to execute seamlessly. The duties of this role require confidentiality, initiative, sound decision-making, independent judgment, and the ability to escalate serious or unique problems to higher levels. Ideal candidates will be intrinsically driven to make a positive and substantial impact to the company.

 

Primary Responsibilities

This individual must represent the leader/team member with professional courtesy and acumen, effectively manage multiple projects with shifting priorities, and deliver flawless work output. 

 

  • Consistently demonstrate the ability to establish trust and confidence by maintaining a high level of credibility, integrity, and skilled communications with all partners.
  • Responsible for the coordination and logistics of both internal and external meetings; to include investor meetings, all Board of Director meetings and committee meetings, including strategic planning; capturing agendas; inviting the appropriate attendees; reserving the meeting space and covering all possible logistical issues.
  • Assist with company-wide offsite conferences and external events; including room reservations, catering, transportation, etc.
  • Maintain complex and detailed calendars.
  • Screen incoming calls and determine the level of priority while using caution in dispensing information.
  • Monitor significant dates on key corporate contracts.
  • Handle regular administrative activities without prompting and advise in advance with issues or delays.
  • Assist with submitting invoices and T&E expense claims for Executive team members.
  • Arrange and coordinate domestic and international travel for multiple leaders.
  • Produce high quality emails and messages to individuals at all levels of the organization.
  • Maintain current organizational charts and Executive bios in partnership with Marketing.
  • Assist in editing spreadsheets, memos, and presentations including printing for client meetings, creating PowerPoint or other presentation materials for quarterly Town Hall meetings, strategic sessions, etc.
  • Provide corporate secretarial support in meetings as needed.
  • Work cooperatively with Business Support Associates, HR, and other shared services groups, in positive partnership to back up each other smoothly.
  • Familiar with business laws and regulations. This person should be considered a subject matter expert for policies and procedures.
  • Other duties as assigned.
  • This position has no direct supervisory responsibilities.

 

Required Qualifications

 

  • Minimum of 5 years administrative experience in a corporate environment is required, ideally supporting leadership at the Managing Director level (or equivalent) or above.
  • Bachelor’s degree preferred; or any combination of education, training, and experience that demonstrates the ability to successfully perform the duties of the position.
  • Absolute discretion to handle sensitive/confidential situations and documentation is required.
  • Excellent written, and oral communication skills required.
  • Strong interpersonal skills, good judgement and intuition, and the ability to communicate with all levels of the organization are required. Candidates who maintain a calm and rational demeanor under pressure are preferred.
  • Strong drive to achieve results and the ability to self-motivate in the face of multiple priorities while managing time efficiently, required.
  • Advanced ability to organize required. The ability to prioritize situations while maintaining strong attention to detail is critical.
  • Excellent telephone etiquette and ability to manage competing priorities i.e. calendar management.
  • Strong proficiency in MS Word, Excel and PowerPoint required.
